Summary

The Compliance Specialist will check for subcontractor bonding, insurance, contract, partial and/or final lien releases, and other requirements prior to payment. Manage joint check processes, documentation requirements for stored materials billings, and other compliance and safeguard processes. Support periodic company-wide and job-specific audits. Assist or process certified payroll requirements, minority business enterprise (MBE) documentation items, and those unique governmental and/or regulatory requirements that arise from time to time.

  • Maintain database / spreadsheet of subcontractor compliance issues as related to the payment process.
  • Seek, review, analyze vendor first and second tier lien waivers.
  • Seek, review, analyze vendor insurance certificates.
  • Seek, review, analyze vendor payment and performance bond information where applicable.
  • Seek, review, analyze vendor certified payrolls, minority business enterprise (MBE) documentation, and other compliance paperwork as applicable.
  • Interface with the company procurement person to ensure fully executed contracts are in place prior to making payment, where applicable.
  • Prepare risk assessments as needed for management's use in evaluating subcontractor second tier payment risk.
  • Serve as a resource for payment inquiries from external sources (vendors) and internal personnel (project managers, etc.).
  • Serve as organizer for joint check agreements / joint check efforts.
  • Support the accounting / officer manager in other duties as required.
  • Special projects as required by management.
  • Follow the subcontractor compliance / documentation process as directed by company management.
  • Interface with company personnel to maintain company credit card expenditure logs.
  • General filing.
Competencies
  • High school diploma or acceptable equivalent is a requirement for this position. Achievement of a college degree in a related field, from a 2-year or longer program at a higher education institution, is a plus.
  • Excellent organizational skills and attention to detail.
  • Exercise judgment and maintain confidentiality on a wide spectrum of topics and issues for which discretion is required.
  • Work exceptionally well with employees, customers and business associates at all levels with a professional attitude. Excellent interpersonal skills are required.
  • Work independently, follow through on assignments with minimal direction, and set priorities, which accurately reflect the relative importance of job responsibilities. Be able to perform under deadlines with frequent interruptions.
  • Fluency in Microsoft Office™ Software, particularly Word™ and Excel™ is a requirement for this position.
  • Accounting/bookkeeping experience is a strong plus.
  • Experience in the same role in the construction industry is a strong plus.
  • Familiarity with Sage Timberline™ Accounting Software is a plus, but not a requirement.


Position Type/Expected Hours of Work

This is a full-time position. Days and hours of work are Monday through Friday, 8 a.m. to 5 p.m.
