A Brief Overview
The Venue & Special Events Assistant is responsible for supporting their venue with general administrative duties. This position shall be responsible for supporting the Sales Department in the planning, budgeting, and implementation of special events.
What you will do
  • Responsible for general administrative support activities including preparing documents and presentations, processing incoming and outgoing correspondence, scheduling appointments, sending meeting notices, and maintaining electronic and hard files. May assist in the creation of artist settlement folders and sponsorship invoices.
  • May be responsible for providing general office support including coordinating inter-office communications, fielding phone inquiries, mail coordination, ordering of office supplies, operation and maintenance of office equipment and office building, and sending / receiving shipments. This position may also assist with ordering of venue supplies, staff uniforms and maintain hospitality files (hotels, maps, menus) for quick access and acts as liaison for same.
  • Manage and maintain supervisors calendar. Establish and maintain filing systems, contact lists and other databases including CRM database entry. Maintain database of potential targets for Special Events and participates in solicitation efforts. May conduct assigned market research as directed.
  • Setup of vendor files and the tracking of payment processing. Prepare check requests, request invoices, and any pertinent accounting required paperwork.
  • Assist manager with staffing special events to ensure contractual agreements are fulfilled.
  • Prepares checklists, schedules and other correspondence for departments relative to events. May prepare detailed outlines and instructions for events as required.
  • Supports events as assigned and work as the direct contact for the special events as needed. Attend rental meetings and provide budgets. Assist in venue site tours as needed. May participate in association meetings for event planners and similar organization. Attend meetings, network, and provides data to Director of Sales.
  • Other duties and special projects as assigned.

  • Strong written and verbal communication skills
  • Ability to work independently and as part of a team
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook); and ability to learn required business systems
  • Strong interpersonal and organizational skills.
  • Ability to prioritize and multi-task to meet deadlines.
Qualifications
  • High School Diploma or its equivalency
  • 0-2 years Of office administration work experience
  • Strong written and verbal communication skills
  • Ability to work independently and as part of a team
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook); and ability to learn required business systems
  • Strong interpersonal and organizational skills.
  • Ability to prioritize and multi-task to meet deadlines.

Pay Scale: $20.15 - $23.64
