Lifeline of Ohio coordinates and promotes organ, eye, and tissue donation across Ohio, and we are seeking a Supervisor of Donation Program Coordination to join our Hospital Development team.

  • This role reports to the Director of External Partner Relations and is an exempt, full-time, benefits eligible position.
Overview:

Consistent with the mission, vision and values of Lifeline of Ohio, the Supervisor of Donation Program Coordination is responsible for cultivating relationships with high level hospital administrators, physicians, nurses, and other key hospital personnel to encourage strong engagement in donation recovery efforts.

This role will manage a team of Donation Program Coordinators who's goal is to promote and advance a positive donation culture within our donor hospitals to maximize donation opportunities. To achieve this, the Supervisor will work with their team to foster collaboration with hospital staff to build comprehensive donation systems that clearly identify policies, procedures, and resources.

Key Responsibilities:

1. Provides oversite and guidance of day-to-day department operations related to donor activities. Maintains an awareness of all active referrals and pending activity to make decisions that ensure optimal use of available resources.

2. In collaboration with the Director of External Partner Relations, support Donation Program Coordinator and hospital partner leaders to develop processes, policies, and procedures supportive of maximizing donation opportunities.
  • Encourage and support open discussions about policies and procedures with team members and stakeholders in order to collaborate on comprehensive, effective processes supportive of hospital protocols and applicable regulations.
  • Improve processes and procedures with a focus on better identifying potential donors earlier in the care process.
  • Foster continuity between the hospital development, family services, and clinical recovery teams to integrate service delivery where appropriate.
3. Recommend and coordinate process improvement initiatives in partnership with the QI team to address gaps in donation process and recovery performance.
  • Lead weekly team Case Review process to analyze hospital data from Tableau to identify trends and opportunities for improvement.
  • In coordination with the Education and Development Specialist team, deploy training/re-training to address areas of deficiency when needed.
  • Prepare and present data reviews with individual team members and hospital partners incorporating QI practices.
  • Investigate the feasibility and potential benefits of quick kaizen ideas submitted by team members. Implement ideas that can enhance recovery outcomes, streamline processes, or improve department effectiveness.
  • Lead in conducting root cause analyses on reportable events and initiate changes to address gaps in policies, protocols, and processes.
  • Recognize and celebrate positive outcomes with team members, hospital partners, and other stakeholders.
4. Collaborate with the Director of External Partner Relations in the analysis and review of strategic plans for hospital partners to achieve Lifeline strategic priorities for donation in alignment with overall hospital direction, needs, and goals.
  • Be aware of the business environment and work culture of each hospital partner. Adapt communications and protocols to accommodate their unique requirements.
  • Identify underperforming hospitals and departments within hospitals and support the appropriate corrective actions of Donation Program Coordinator to remove any barriers inhibiting donation.
  • Respond to issues, concerns, and complaints from hospital partners, track complaints and coordinate follow-up activities.
  • Present donation metrics, results of process improvement efforts, audit results, and other relevant information to internal and external leadership and stakeholders.
  • Solicit input and feedback to improve hospital support.
5. Build, lead, and maintain a high-performing, highly engaged team that embodies the organization's values.
  • Hire new team members in partnership with Director of External Partner Relations and HR. Screen and interview candidates, ensuring they have the right character, cultural fit, and competencies to perform well in the role.
  • Assign dedicated Donation Program Coordinators to plan and coordinate hospital donation activities.
  • Coordinate the onboarding of new hires and interns in collaboration with the Education and Development Specialist; ensure they receive all appropriate learning and sign-off on all department specific policies. Evaluate their progress and provide feedback as needed.
  • Perform on-site competency evaluations and job shadowing with Donation Program Coordinators; provide coaching based on observations of their work to further develop their capabilities. Verify that protocols and practices are consistently administered among coordinators, providing feedback and corrective actions as needed to address inconsistencies.
  • Set clear performance expectations and assess employee performance through the organization's performance management framework. Provide team members with positive, constructive feedback that reinforces desired results and holds team members accountable for their work.
  • Audit and approve appropriate time and attendance procedures.
  • Identify training and development that will improve team member performance and provide growth for future career opportunities.
6. Actively engage in donor hospital events, meetings, rounding, and leadership meetings.

7. Anticipate hospital needs based on upcoming changes to clinical regulations, hospital policy and process revisions, and changes in hospital staff. Initiate the appropriate steps to address changes proactively.

8. Respond and follow-up on referrals timely and effectively according to Lifeline of Ohio procedural standards.

9. Perform other duties and complete special projects as assigned.

Work Environment:

Work is typically performed in a standard office setting working at a desk or table on a level surface. This position spends a large amount of time in their assigned hospital(s) in a critical care setting. .
  • Travel expected within donation service area with occasional out of state meetings.
  • May be required to work more hours than normal during a regular workweek depending on donor activity and other requirements. Flexible work hours may be required to accommodate donor activity.
  • This position is classified as a high exposure (clinical) occupation and does require Bloodborne Pathogens Training and Protection. The employee is provided with protective clothing and personal training, and will be offered the HBV vaccine.
Requirements

Education and Experience:
  • Bachelor's degree in an appropriate field required
  • 5 years of applicable work experience preferred
  • Knowledge of regulations applicable to organ, eye and tissue recovery required
  • Basic computer and data entry skills, including Microsoft applications (e.g., Word, Excel & PowerPoint) required.
