POSITION SUMMARY

The full-time Human Resources Coordinator plays a vital role in supporting the HR Team with a broad range of HR functions. This position is primarily responsible for successfully managing the onboarding process and performing administrative tasks and services to support effective and efficient operations of the organizations Human Resources department.

Responsibilities: Assists HR Generalist with managing the entire full cycle onboarding process. Coordinates start date and first day procedures with managers and HR Liaisons for 35+ locations throughout the country. Acts as primary back-up for role. Assists candidates during onboarding with guidance on the completion of forms; ensures forms are completed and follows up as needed to ensure onboarding process is completed successfully. Completes I9 employment eligibility reviews for remote employees. Assists with I9 retention process and creates E-Verify cases for each new employee. Ensures I9s are received and maintained in accordance with DHS guidelines. Assists with the review and distribution of any incoming HR correspondence and e-faxes to appropriate HR employees and/or internal departments as required. Creates and edits contact lists, announcements, forms, surveys, spreadsheets, Employee Handbook, Addendums, and other documents or correspondence as needed. Assists HR Team with maintaining accurate and up-to-date electronic personnel and medical files which involves scanning documents related to onboarding, offboarding, benefits and other HR categories on a regular basis into the electronic filing system on ADP Workforce Now. Assists HR Team with mailing out payroll checks, general USPS correspondence, and any FedEx shipments as needed. Distributes and maintains employee survey data. Enters equipment data into HRIS system and assists with storing of IT/HR forms. Assists HR Manager with clerical functions related to the Law Clerk Program including saving resumes, drafting templates, and following up on scheduling requests. Assists Senior Benefits Administrator with mailing out invoices to employees on leave and ensuring any checks received in relation to same are promptly scanned and shared. Assists with responding to any general employment-related e-mail inquiries from employees escalating highly sensitive or complex matters to the HR Manager when necessary. Partners with HR Manager as needed to conduct research on multiple HR issues and ensures to keep track of items and follow up until issues are successfully resolved. Assists HR Manager with maintaining employee documentation and timelines, ensuring accurate and up-to-date records of all relevant information and actions taken. Performs other duties as assigned.

Qualifications: Minimum of 1 year of HR experience required, 2+ preferred (internships included). Law Firm experience is a plus, but not required. Proficiency with Microsoft Office 365 required. Intermediate or Advanced knowledge of Microsoft Excel preferred. Meticulous attention to detail, strong interpersonal skills and strong communication skills (verbal and written). Ability to handle sensitive and confidential information with care. Ability to collaborate and work effectively with team members.

EDUCATION

College coursework required. Bachelors Degree in human resources or related area preferred.

PHYSICAL DEMANDS

This position is considered to be mostly sedentary and will require the employee to sit for extended periods of time. It will also require the employee to occasionally stand, walk, and reach with hands and arms. They may engage in bending, stretching, reaching and other motions in the course of a working day. They will be engaged in using office equipment and computers. They may engage in lifting supplies and materials up to 20 pounds from time to time. While performing duties of this position, the employee is regularly required to see, talk and hear.

WORKING CONDITIONS

This job is located primarily in an indoor office environment with varying noise levels. There may be varying degrees of temperature. The employee may be interrupted from time to time.
