SUMMARY

This role is an administrative level position that assists our Buyers. This role contributes to Ken's Foods success by supporting the Procure to Pay process and execution of purchase orders for goods (and services) critical to Business Partners. The Purchasing Coordinator will work with the Purchasing Operations team and other cross functional business partners to secure goods (and services), while managing ongoing supplier relationships. The Purchasing Coordinator will also assist in managing warehouse inventories, reverse logistics, invoice discrepancies, and daily fulfillment to meet Plant requirements, as needed. All Ken's Employees are accountable for creating and maintaining a culture of Safety and assuring a safe work environment.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Supports fulfillment of daily Plant requirements by running/reviewing various reports, including but not limited to PO Confirmation, Exceptions, PO Late Delivery
  • Confirms critical Purchase Orders within 24 hours, escalating to Operations Buyer with changes or concerns
  • Coordinates/Follow-ups on all Collect/Backhaul loads with Logistics Department, as directed
  • Tracks and expedites materials; communicating to Operations Buyer with any known material shortages
  • Tracks and manages changes to orders and escalates to Operations Buyer/Plant, as needed
  • Follow-up on loads flagged "yard" to ensure they are received in a timely manner
  • Periodically check raw material receiving and communicate errors to receivers; track receiving errors to provide feedback to the Plant(s)
  • Update price changes monthly/quarterly by the effective date for both the Master Data and any Open POs
  • Supports maintenance of purchasing function including gathering documents and performing research, as needed
  • Research and resolves invoice discrepancies due to price or receiving issues
  • Execute reverse logistics/charge-backs, as directed; supporting Operations Buyer with necessary paperwork for Return to Vendor
  • Support interplant material transfers; following up to ensure material transfers are executed as planned
  • Make inventory adjustments, as directed/needed
  • Gathers information for root cause/corrective action plan from Supplier, as directed
  • Communicates with Supplier regarding Ken's Foods expectations (i.e. standards for shipping products to the Plants)
  • Manages obsolete inventory; develops disposition for slow moving items, as required
  • Completes item creation and maintenance, as directed
  • Completes Supplier Set-Up and maintenance, as directed
  • Lead small projects, as assigned
  • Research, compile data, provide support to other miscellaneous Procurement projects, as needed (i.e. Spend Analysis)
  • Recommends improvements to Procurement and Supplier processes, with a focus on streamlining execution of daily/weekly reports
  • Maintain/update Supplier scorecard, upon implementation (future requirement)
    • Obtain feedback from cross-functional Business Partners/Plants
    • Track on-time orders, invoice discrepancies, DPPM, and other performance metrics
    • Establish formal process for communication and feedback

Education and/or Experience
  • High School Degree or equivalent required
  • Four year degree in related field preferred
  • Minimum of one year Procurement or Supply Chain Management experience preferred
  • Proficient in the Microsoft Office Suite (Excel, Word, and PowerPoint)
  • Syspro experience a plus
