Job Summary

The Logistics Specialist is a key role responsible for administering all dispatch functions to ensure safe and customer-centric operations for the fleet. This position involves efficiently managing and directing all aspects of the daily distribution of fuel, lubricants, and related products. The Logistics Specialist is dedicated to providing outstanding customer service, optimizing the use of manpower, trucks, storage, and product price to achieve operational excellence.

Duties and Responsibilities:

Dispatch Administration
  • Administer all dispatch functions, including scheduling deliveries, developing effective routes, and managing driver assignments to ensure timely and efficient distribution of products.
  • Monitor dispatch activities in real-time and respond to any issues or delays to minimize disruptions and maintain service levels.
  • Demonstrate the ability to adjust quickly and decisively daily due to unforeseen circumstances that arise.
  • Schedule all deliveries according to "On Time In Full and Accurate" (OTIFA) guidelines.
Customer Service
  • Provide outstanding customer service by responding promptly to customer inquiries, internal supporting departmental inquiries, resolving issues, and addressing customer concerns related to deliveries and service.
  • Maintain a high level of customer service between internal departments.
  • Generate orders and assist in and supporting sales team efforts.
Resource Optimization
  • Optimize the use of manpower, trucks, storage facilities, and product inventory to maximize efficiency and minimize costs
  • Coordinate with supply chain and inventory management teams to ensure adequate product availability and timely replenishment.
  • Attention to details including customer hours, pull points and driver schedules.
Performance Monitoring
  • Monitor key performance indicators (KPIs) and metrics related to fleet operations, including delivery performance, fuel efficiency, driver productivity, and timely submission of all delivery paperwork associated with deliveries.
  • Analyze data and trends to identify opportunities for improvement and implement corrective actions as needed.
Additional
  • Performs all necessary supervisory functions to effectively and efficiently manage the personnel and equipment assigned, working in conjunction with the Operations Supervisor and Training Departments.
  • Ensure compliance with all safety regulations, policies, and procedures to promote a safe working environment for drivers, customers, and the public.
  • Must be able to perform on-call duties after regular business hours as defined by the Dispatch Supervisor.

Knowledge, Skills, and Abilities

Required
  • Excellent communication (verbal/written), problem-solving, and decision-making skills.
  • Knowledge of safety regulations and compliance requirements related to fleet operations.
  • Strong understanding of dispatch and routing principles, logistics software, and transportation management systems (TMS).
  • Strong computer skills and able to learn company systems and processes.
  • Adheres to the company's values and ethical expectations.
  • Well organized and able to effectively multitask.
  • Able to work independently.
  • Ability to make critical decisions with little to no supervision.
  • Ability to think independently to problem solve and provide optimal solutions to situations.
Preferred
  • Bachelor's degree in Logistics, Supply Chain Management, Business Administration, or a related field (preferred).
  • Experience in lubricant industry, fuel industry, or transportation industry.
  • Experience in dispatching or other logistics support area.
