Role Description

Coravin is recruiting a part-time AR Clerk to support the global finance & accounting team. This position will report to our Senior Director of Finance & Accounting.

As the AR Clerk, you will be responsible for managing the global Accounts Receivable process, including following up on past due invoices, reconciling customer accounts, applying cash payments, documenting customer credits, and monitoring and responding to customer email inquiries. The right candidate will have a positive, can-do attitude, be driven to continually find ways to improve processes, and represent the accounting and finance team with professionalism and enthusiasm.

This position is a remote role for 15 hours a week with a 6 month contract. The cross-functional team this role will partner with is spread across the globe with concentrations in Boston, MA and Amsterdam.

Responsibilities

  1. Accounts Receivable Management: Monitor accounts receivable aging and follow up on overdue payments, reconcile customer accounts and ensure timely application of payments, and maintain accurate records of customer trade spend and other credits, including unreceived credits
  2. Customer Communication: Respond to customer inquiries regarding invoices, payments, and account balances, provide excellent customer service and address any concerns or disputes in a professional manner, and collaborate with sales and customer service teams to resolve customer issues effectively.
  3. Cash Application: Apply all incoming payments, including checks, credit card payments, and electronic funds transfers, to the appropriate customer accounts and invoices
  4. Reporting and Analysis: Prepare regular reports on accounts receivable aging and collections, analyze AR data to identify trends, potential issues, and opportunities for improvement. Assist in month-end closing activities and provide support for financial reporting as needed.
  5. Documentation and Compliance: Maintain accurate records and documentation related to accounts receivable activities. Ensure compliance with company policies, accounting principles, and regulatory requirements. Assist in internal and external audits by providing relevant documentation and information.
  6. Billing and Invoicing: Verify billing data to ensure accuracy and completeness. Investigate and resolve any discrepancies or billing issues.
  7. Collections & Reconciliation: Proactively follow up on past due customer invoices to collect payment, with the goal of keeping past due AR minimal.

Skills and Attributes

  1. Experience with collections, entry level accounting, and/or customer service
  2. Familiarity with Excel (e.g. sumifs, pivot tables, xlookups, etc.)
  3. Experience of accounting software and ERP systems
  4. Attention to detail with an orientation towards repeatable and efficient processes
  5. Flexibility while working across time zones
  6. Professional communication when interfacing with both internal and external partier
