Customer Service Representative Overview
We are seeking an organized and detail-oriented Customer Service Representative to join ourcompany. The ideal candidate will provide exceptional service to both internal and external customers, assist in administrative tasks, and ensure efficient operations within the division. This role is vital in maintaining smooth workflows by handling payments, managing communications, and supporting program processes.

Key Responsibilities

  • Provide outstanding customer service by resolving questions, concerns, and issues for both internal and external customers.
  • Accept, receive, and process payments from customers while ensuring accuracy and compliance with division policies.
  • Assist with the intake process for program applications and ensure all required documentation is submitted and processed efficiently.
  • Perform data entry tasks, generate reports, and maintain accurate records of all customer interactions.
  • Prepare bi-weekly payroll for the division and ensure timely processing.
  • Manage both incoming and outgoing mail, ensuring timely distribution to the appropriate personnel or departments.
  • Maintain organized records of reports and documents as assigned.
  • Regularly update the community resource and telephone list to ensure accurate and up-to-date contact information.
  • Schedule and organize program meetings, coordinating all necessary logistics and materials.
  • Organize files, correlate and format special projects, ensuring alignment with division needs.
  • Develop and maintain a department library of internal resources, including books, binders, brochures, and public information documents for reference.
  • Carry out records retention and destruction activities according to division policies and regulations.
  • Serve as the primary contact for the imaging process, including scanning, filing, and retrieval of documents.
Qualifications
  • Proven experience in customer service, administrative support, or a similar role.
  • Strong organizational and time-management skills, with the ability to manage multiple tasks simultaneously.
  • Excellent communication skills, both written and verbal, with a focus on customer satisfaction.
  • Proficiency in data entry, recordkeeping, and basic accounting tasks.
  • Familiarity with office equipment, including scanners and imaging systems.
  • Ability to work independently and as part of a team to meet deadlines and handle confidential information.
  • Knowledge of community resources and the ability to update and maintain contact lists.
