Duties and Responsibilities:
Process daily reports for clients in Excel and/or in-house billing system (Link) and invoice client
Process weekly and monthly invoices and send them to client
Invoice clients from Legacy systems into QuickBooks
Review Client A/R and follow up on past due/late invoices
Enter end of month Merchant Services invoices into QuickBooks
Input daily client postage payments for clients
Set up clients in database system and continuous improvement of system
Enter daily transactions for electronic payments (AFT/EFT/Chargebacks) in QuickBooks
Calculate and implement annual price increases to clients
Daily bank deposits as needed
Commission report for Consultants
Perform other manual and repetitive tasks in support of the business
Accountability:
Strictly observe security, safety and housekeeping practices
Maintain a strict level of confidentiality with the client information
Acknowledges and adheres to SmartBill Information Security Policy
Complete assignments promptly and correctly, while working independently
Establish priorities and meet needs and deadlines of business
Ensure all clients are invoiced based on their regular scheduled cycle
Ensure that all clients are current with their invoices or placed on hold per company policy
Maintains financial security by following internal controls.
Maintains client confidence and protects operations by keeping financial information confidential.
May be required to work additional hours outside of normal work week to meet deadlines
Qualifications:
Knowledge of generally accepted accounting principles
Proficiency in Microsoft Office products (Word, Excel and Outlook)
Proficiency in QuickBooks
Strong analytical problem-solving aptitude with creative solutions, ability to organize work with large amounts of information efficiently, manage multiple projects and deadlines simultaneously with strong attention to detail
Ability to communicate effectively and professionally, both in writing and verbally with clients
Must be a team player
Development of skills and knowledge
Willingness to be flexible and adaptable to change
Excellent client service
