**Program Specialist - Special Operations Team**

**Location: Remote**

As a member of the CrowdRx team, the **Program Specialist** on the Special Operations team serves under the Senior Coordinator, Special Operations to coordinate the planning for and delivery of on-site medical services at events like large-scale festivals, major sporting events, and more. Under general supervision, the **Program Specialist** will oversee various projects of a moderately complex nature or portions of a major event. They will be responsible for coordinating activities of a project team, identifying appropriate resources needed, and developing schedules to ensure the timely completion of each project.

**Responsibilities**:

- Assists with requirements definition, creating project scope and obtaining scope approval, and creating project plans, resource plans and project cost estimates.
- Confirms that all project requests are aligned with CrowdRx and GMR goals and strategic plan.
- Resolves ambiguities in project requirements and gains consensus from project team members.
- Coordinates project efforts and activities to achieve agreed timelines and budgets.
- Understands and coordinates activities with and between multiple internal departments within GMR including HR, Finance, Business development, Communications and others.
- Job responsibilities include but not limited to:

- Conducting project kick-off meetings
- Defining project scope
- Creating and maintaining project schedules and budgets
- Communicating status, issues and risks to projects stakeholders
- Tracking/managing projects to successful completion
- Supporting leadership with cross-functional project teams and maintain project documentation.
- Coordinating with local business units on projects requiring additional resources
- Coordinates project plans specifying goals, strategy, staffing, scheduling, identification of risks, contingency plans, and allocation of available resources.
- Coordinates recruitment, contracting and/or assignment of project personnel.
- Matches duties/responsibilities to project personnel.
- Contributes to project status reports and keeps management, clients, and others informed of project status and related issues.
- Confers with project personnel to provide advice and resolve problems.
- Coordinates and responds to requests for changes from original specifications; manages and implements change control processes.
- Assists with quality assurance and quality assurance plans.
- Reviews and assesses vendors' proposals.
- Works with on-site and off-site consultants.
- Adheres to all company policies and procedures.
- Operates with Clinical teams as needed to support project requirements.
- Travels to support or oversee projects or large-scale operations.
- Serves as an on-site leader at events or in a remote posture. Serves as or under the Administrative / Planning Branch or Section Chief at major events.

**Qualifications**:

- High school diploma or GED required.
- Bachelor's degree preferred.
- Current & valid EMT/EMTP or RN certification required or prior medical training and successful completion of company sponsored program within 6 months.
- Current & valid BLS CPR Certification required.
- Current & valid Driver's License required.
- 2+ years experience in project management, requirements definition and/or deployment of business solutions, including demonstrated leadership skills.
- Collaborative, customer-focused and able to create visible value.
- Basic knowledge of cost and budgetary controls procedures.
- Basic knowledge of data analysis and Microsoft Excel, Google Suite and Smartsheets.
- Demonstrated skill in the successful completion of multiple, simultaneous and rapidly emergent tasks.
- Ability to plan for projects, including cost, personnel and equipment needs.
- Ability to analyze operations and organize their parts into a logical system.
- Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
- Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public. Effective oral, written and interpersonal communication skills.
