**Job Summary**:
The Space Management Office collects and maintains university space and utilization information, and works with schools, colleges, and divisions to identify and plan for short
- and long-term space needs. This person in this position will collect and update space information through building walks, surveys, and project documentation. This work is critical to maintaining and improving space and facility data for campus reporting and planning.

This is what we are looking for:
[1] Space data collection and updates: Work with schools, colleges, divisions, and departments to collect and update organizational space assignments, use and subuse, functions, staff occupancy, and related information. This includes coordinating and executing building walk throughs, online surveys, and ad hoc updates reported to our office. Attention to detail, communication skills, and customer service are important for this work.

[2] Space and facility data reporting: Contribute to ad hoc report requests from internal and external stakeholders. Assist lead staff with standard report development and review as needed. Support role in creating ad hoc reports tailored to specific, dynamic business needs. The ability to quickly and efficiently gather, analyze, and present data on short notice. Experience with tools and methodologies that support flexible and responsive ad hoc reporting.

[4] Proven experience with supporting in the production and preparation of complex annual reports and data. Familiarity with creating reports that comply with industry standards and regulatory requirements.

Additional Information
This position may require occasional travel outside of Madison, Dane County, or the State of Wisconsin to UW-Madison facilities and/or other institutions.

**Responsibilities**: Coordinates the physical inventory systems, performs data and analysis on space utilization, facilities planning, open space design, and/or transportation planning, and reviews and make recommendations on improvements in support of efficient use of both indoor and outdoor university facilities initiatives.
- 10% Schedules logistics and secures resources and information to identify, assign, and acquire space for institutional use
- 70% Analyzes, audits, and updates facility records
- 10% Reviews, evaluates, approves, and provides recommendations for facility improvements, space assignments, and proposals utilizing best practices and established policies and procedures
- 10% Contributes to standard and custom reports of facility and space data for UW-Madison, UW System, benchmarking studies, and others as requested

- Ability to organize, evaluate, and present information effectively.
- Knowledge of administrative structure and functional requirements of facilities in higher education
- Skill and commitment to provide quality customer service.
