**JOB SUMMARY**

**REPORTING RELATIONSHIPS**:
This position reports directly to the Clerical Supervisor.

**ESSENTIAL JOB FUNCTIONS**

20%- Assist with the purchasing process, including entering requisitions into data program (PeopleSoft), initiating payment, creating vouchers, ordering office supplies, and manage inventory for office supplies and drug test rooms.

20% - Provide administrative assistance to the Collective Leadership Team, Senior Leadership Team, and Administrative Services of Adult Probation & Parole Services.

15% - Complete state certifications, to include printing of sentence sheets and criminal complaints, retrieving fines, costs, and restitution information in data system, acquiring judges’ signatures, and filing packets.

15% - Process transfer-in client cases, to include printing packets, entering cases into data system, and sending client reporting letters.

15%- Entering state sentences into data system.

5%-Provide coverage for absent clerical support or those on breaks/lunch as follows: deliver and pick up Court documents to/from Judicial Chambers and other Court-related departments; provide reception and telephone coverage; perform various clerical tasks to include data entry, filing, and confidential paper shredding.

5%- Manage maintenance and upkeep of all copiers in APPS. This includes troubleshooting paper jams, scheduling maintenance requests, ordering supplies, and maintaining a current list of all equipment.

5%- Assist Clerical Supervisor with training and guidance of new employees and the retraining of current clerical staff.

**OTHER SPECIFIC TASKS OR DUTIES**:
Perform related work as required.

**MINIMUM QUALIFICATIONS**:
Education equivalent to completion of high school including course work in standard business practice office procedures or equivalent. Must possess some experience in clerical and/or typing experience in an administrative, professional or judicial setting; or any combination of acceptable education and experience which has provided the knowledge, skills, and abilities cited below.

**KNOWLEDGE, SKILLS AND ABILITIES**:
Knowledge of general principles and policies of the criminal justice system.

Knowledge of practices and procedures governing filing, reception, and administrative assistance procedures.

Excellent organizational skills.

Complete understanding of basic English to include usage, grammar, spelling, and punctuation.

Ability to communicate effectively with offenders, members of the Judiciary, co-workers, representatives of other agencies, and the public.

Ability to organize workload, establish priorities, and complete clerical processing requirements.

**REQUIRED LICENSES/CERTIFICATIONS/CLEARANCES**:
Must pass a criminal background check.
