**Job Description**:
Administrative Assistant Property Management

The Administrative Assistant position supports MINCA, Inc. by providing administrative support to MINCA Vice President(s), Director(s), management, and staff. While responsibilities are focused primarily on the needs of the Company’s real estate and property management division, the overarching responsibilities of this position are to support MINCA’s goals and objectives.


Essential Duties and Responsibilities include the following. Other duties may be assigned.
- Compiles data and prepares reports related to the property management function, including CAM reconciliations, budget variances, property expense reports, detailed vendor expense reports, etc.
- Prepares and coordinate bid proposals, service contracts and approved invoices. Assists in bidding process and assist property manager(s) in their efforts to ensure compliance with company policies and procedures;
- Prepares and codes invoices in accounting system for property manager’s approval;
- Tracks and files contracts and insurance certificates; maintains follow-up system to track expirations;
- Monitors and maintains the property maintenance work order system and prepares weekly reports on status of tenant work orders;
- Maintains the property purchase order system;
- Assists with monthly and quarterly management reports and annual budget preparation;
- Processes tenant bill-back invoices, monthly utility-meter readings, check requests, and maintenance staff time sheets for review and approval.
- Promotes and fosters positive relationships with tenants and owners and tracks service calls as required;
- Provides administrative support to company Vice President(s), Directors, management and staff by preparing correspondence, taking meeting minutes, and maintaining department policies and procedures;

Education and/or Experience

Associates degree from college or technical school; and one (1) to (2) two years previous administrative and or industry experience; or equivalent combination of education and experience.
