**SUMMARY/OBJECTIVE**:
The Office Administrative Assistant is responsible for providing administrative assistance to the entire office by answering phone calls, welcoming guests, and providing direct assistance to the Administrative Services Manager. This role aids other managers in reporting and other office duties.
**ROLES AND RESPONSIBILITIES**:
- Greeting and welcoming guests upon arrival to the office
- Directing visitors to the appropriate person and office
- Answering, screening, and forwarding incoming phone calls
- Delivering complete and accurate phone messages to staff and callers
- Receiving, sorting, and distributing daily mail/deliveries
- Organizing and maintaining mailroom operation
- Maintains inventory of office supplies; orders new supplies as needed.
- Maintaining and updating company directories and organizational materials
- Ensuring reception area is tidy and presentable, with all necessary materials
- Maintaining office security by following safety procedures and controlling access via the reception desk
- Updating calendars and scheduling for shared conference rooms
- Supporting the Human Resources team with additional responsibilities as needed Other duties as assigned by management
**QUALIFICATIONS**:
- High school diploma or equivalent required
- At least three years of administrative and clerical experience preferred
- Proven office administration experience
- Report writing and formatting in MS Word
- Attention to detail
- Strong organizational and planning skills
- Proficient in MS Office
- Friendly and professional demeanor
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift to 15 pounds at times
