As our Bookkeeper/Administrative Assistant, you will play a vital role in ensuring our financial records are accurate and up-to-date, as well as managing the day-to-day administrative functions of our office. Your responsibilities will include maintaining our QuickBooks Online account, managing financial transactions, and providing general administrative support to our team.
**Key Responsibilities**:
- Manage and maintain financial records using QuickBooks Online.
- Process accounts payable and receivable, including invoicing and bill payments.
- Reconcile bank statements and monitor cash flow.
- Prepare financial reports and summaries as needed.
- Assist with payroll processing.
- Manage office supplies inventory and place orders as necessary.
- Assist with facilitating necessary maintenance on business locations.
- Handle general office duties such as answering phones, filing, and scheduling meetings.
- Assist in the preparation of financial documents for tax purposes.
- Keep business licenses and leases organized and up-to-date.
- Assist with daily, monthly, quarterly, and annual reports as needed.
- Provide support to management with special projects as required.
**Qualifications**:
- Proven experience as a bookkeeper or administrative assistant.
- Proficiency in QuickBooks Online and Microsoft Office (specifically Excel, PowerPoint and Word).
- Strong organizational and multitasking skills.
- Excellent attention to detail and accuracy.
- Good communication skills, both written and verbal.
- Ability to work independently and as part of a team.
- High school diploma or equivalent; additional qualifications in accounting or business administration are a plus.
