Headquartered in Norwell, MA, our clinical team is made up of highly experienced Board Certified Behavior Analysts (BCBAs), Speech and Language Pathologists (SLPs), Occupational Therapists (OTs) and Registered Behavior Technicians (RBTs), proficient in using the principles of Applied Behavior Analysis (ABA) to change the lives of children and teens with ASD and their families.

**GENERAL SUMMARY**

We are seeking a dedicated and organized individual to join our team as a Medical Scheduler. As a key member of our administrative staff, you will play a crucial role in ensuring the smooth operation of our clinical services. The Medical Scheduler will be responsible for managing appointments, coordinating with healthcare providers, and assisting clients and their families with scheduling inquiries.

**ESSENTIAL JOB FUNCTIONS**
- **Client Scheduling**: Coordinate therapy schedules for ABA, Speech, and Occupational Therapy clients based on their availability, therapist availability, and individualized treatment plans. This may involve scheduling initial assessments, ongoing therapy sessions, and any necessary follow-up appointments.
- **Communication**: Serve as the primary point of contact for clients, therapists, and other stakeholders regarding scheduling-related inquiries. Communicate schedule changes, cancellations, and other relevant information in a timely and professional manner.
- **Documentation**: Maintain accurate records of therapy schedules, client preferences, therapist availability, and other relevant information using scheduling software or other tools. Ensure that all documentation is up-to-date and easily accessible to the appropriate parties.
- **Problem Solving**: Anticipate and resolve scheduling conflicts, such as double bookings or therapist unavailability, in a proactive manner. Work closely with therapists and supervisors to address any challenges that arise and find appropriate solutions.
- **Team Collaboration**: Collaborate with other members of the ABA therapy team, including therapists, supervisors, and administrative staff, to coordinate scheduling efforts and optimize overall service delivery.
- **Client Support**: Provide support to clients and their families regarding scheduling-related questions or concerns. Assist clients in navigating the scheduling process and provide guidance as needed.

**PREPARATION, KNOWLEDGE, SKILLS & ABILITIES**
- Associate’s degree or equivalent course work preferred.
- Minimum of 2 year’s office experience.
- Previous experience in scheduling, customer service, or administration preferred.
- Proficiency in the Microsoft Applications Suite (Word, Excel, PowerPoint, etc.), Google Suite, and office equipment.
- Excellent communication and interpersonal skills.
- Strong organizational skills and attention to detail.
- Ability to multitask and prioritize in a fast-paced environment.
- Commitment to upholding ethical standards and maintaining client confidentiality.
