Pemberton Farms, a 90-year-old family business in Cambridge, is seeking an Office Administrator Assistance to help and manage the day-to-day operations of our thriving business. An extension of our brick-and-mortar store, Pemberton Farms gift business, includes gourmet, hyperlocal food, wine and fruit gifts and baskets, which can be ordered online or by phone and delivered locally or shipped nationwide. The position entails order management and fulfillment, virtual and in-person customer service, website, and print (catalog) management and sales. This position is based at our Pemberton Farms store in Cambridge, MA.

**Job Summary**:
The Office Administrator will be responsible for ensuring the smooth running of daily office operations. This role requires a highly organized and efficient individual with excellent communication skills and the ability to handle multiple tasks. The Office Administrator will support office staff, manage office supplies, and provide administrative assistance to the management team.

**Key Responsibilities**:

- **Administrative Support**:

- Schedule and coordinate meetings, appointments, etc.
- Process gift basket orders (answer phones, take orders, receive payments, track orders, bring ticket to Teresa, etc.)
- Assist with inputting customer info for newsletter requests.
- Prepare and edit correspondence, reports, and presentations.
- Maintain office policies and procedures.
- Assist in the creation of labels, new items, etc.
- **Office Management**:

- Manage office supplies inventory and place orders as necessary.
- Ensure the office is clean, organized, and welcoming.
- Coordinate maintenance and repairs for office equipment.
- Provide desk coverage, including managing a busy, multi-line phone system, greeting guests who enter the office, help to manage incoming/outgoing mail and shipments, and maintaining an organized, clean office environment.
- **Data Management**:

- Maintain and update office records, databases, and filing systems.
- Ensure confidentiality and security of office documents.
- Assist in data entry and the preparation of reports.
- **Financial Administration**:

- Process invoices, receipts, reimbursements, and credits.
- Enter Data into QuickBooks.
- Issue payments to vendors.
- **Customer Service**:

- Greeting and assisting visitors and customers.
- Address inquiries from clients and provide information as needed.
- Foster positive relationships with clients, vendors, and employees.
- **Event Coordination**:

- Assist in planning and organizing company events, meetings, and conferences.

**Qualifications**:

- **Education**:

- High school diploma or equivalent required.
- Associate or bachelor’s degree in business administration or related field preferred.
- **Experience**:

- Minimum of 2 years of experience in an administrative or office management role.
- Experience with office software, including MS Office Suite (Word, Excel, PowerPoint).
- **Skills**:

- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Ability to work independently and as part of a team.
- Detail-oriented with a high degree of accuracy.
- Proficiency in basic accounting and bookkeeping.
- Customer service oriented.

**Additional Requirements**:

- Ability to lift and carry office supplies and equipment up to 10 lbs.
- Flexibility to work overtime or weekends as needed.
