**Purpose of Position**

The Office Manager provides the pastor of Hope United Church of Christ with assistance in communication, preparation and coordination among Church Council, boards, committees and membership.

**The Office Manager**:

- Maintains confidentiality at all times.

**Record Keeping**
- Maintains all member information in the church database, including weekly

donations/balancing with accounting.
- Keeps church records, including deaths, transfers, terminations, members received, weddings, and baptisms.

**Financial**
- Maintains communication with the church treasurer regarding church financial status, including performance of clerical duties for the treasurer such as preparing bills for payment, submitting check requests, informing the treasurer when bills are due, checking payment for accuracy, and mailing payment to vendors. Maintains Accounts Payable files.
- Serves as purchasing agent of office equipment and church supplies.
- Performs weekly accounting when a volunteer is unavailable.

**Communication**
- Holds responsibility for publications and correspondence including monthly newsletter, church bulletins and accompanying slideshows, press releases, and weekly e-news.
- Maintains website and Facebook page.

**Day to Day Operations**
- Coordinates the day-to-day operations of the church office, responds to and follows up on all messages requesting services, reports issues concerning the general appearance of the church to trustees.
- Coordinates use of church facilities with the Board of Trustees.
- Keeps posted office hours Tuesday through Friday from 9:00 AM - 1:00 PM (16 hours).
- Brings the trash and recycling bins on a weekly basis.
- Evaluates the work of the cleaning service, and reports to the Pastor..

**Church Council**
- Works with the pastor and Church Council to aid boards and committees.
- Electronically files Church Council, Board, and Committee agendas and minutes.
- Compiles annual report for church and UCC annual report for yearbook.

**Other**
- Takes on various responsibilities as requested by the pastor.

**Accountability**

This position is accountable to the pastor for performance of daily activities, and through the pastor and the Personnel Committee to the Church Council. Evaluation of the office manager’s performance is the responsibility of the Personnel Committee. This is a part-time position.

**Terms of Position**

The office manager will be paid an hourly wage. The Personnel Committee will conduct a job performance review at the end of the first three months and at least annually thereafter. Salary shall be reviewed annually when the church budget is prepared.

**Benefits**

Social Security: The church will provide the employer portion of Social Security.

Paid Time Off (PTO): The office manager is entitled to 32 hours of PTO per calendar year. PTO can be used for vacation, sick leave, personal time, or any other purpose. Except for sick leave, all PTO must be taken with the prior approval of the Pastor. PTO will not accrue beyond the annual timeframe. Holidays occurring on a regularly scheduled work day will be paid and will not be deducted from the 32 hours of PTO.

Hourly wage is commensurate with experience. TBD by Personnel Committee and reviewed annually.
