mental health challenges and substance use disorders.

- Provide administrative support functions as well as managing correspondence and activities among the Information Services Team.
- Assist with the management and coordination of department deployments and other IT initiatives as needed.
- Assist internal and external customers/clients with inquiries and questions; refer to most appropriate department and/or staff member for assistance resolution.
- Provide secretarial duties far Department, including taking minutes, creating agendas with coordination across teams, transcription, correspondence composition, filing, photocopy, mail distribution, and other related/needed duties in an efficient and effective manner.
- Serve as custodian of documents and records and oversee document preparation, storage, and retrieval for the Department.
- Create, maintain, and update databases and spreadsheet files and/or information used to track invoicing, purchases, assets, projects, etc.
- Manage, track, and audit organizations mobile devices from purchase to deployment. Maintain an accurate accounting of all staff assigned equipment in assigned systems.
- Manage and track all department purchases including obtaining quotes, obtaining required approval, and executing the purchase. Ensuring department policies related to equipment purchase and assignment are followed. May also manage petty cash account.
- Coordinate, maintain and update Program-specific policies-, procedures, and required drills and training in Department, assisting supervisor with employee notification and training, when necessary.
- Must be able to work independently and confident in making independent decisions when necessary.
- Perform other duties as required to meet program and departmental goals and objectives.
- Maintains strict confidentiality of all client information and information related to all organization activities. Ensures information is only shared with those who have a right to the information.

**Who are we looking for?**
- Two years solid Assistant, or Office Manager experience (must have held this role in the last 5 years).
- An associate degree or bachelor's degree and one-year experience in related field. Specific related experience may substitute for the required education on a year for year basis.
- Ability to type at the rate of 50 correct words per minute and experience in using a variety of software programs to maintain and update various systems and prepare correspondence.
- Possess above average communication skills to effectively interpret policies and procedures and assist staff and customers with requests.
- Has knowledge of commonly used concepts, practices, and procedures within the Information Technology field.
- Has purchasing knowledge and experience. Such as working with vendors to obtain quotes, reviewing invoices, reviewing contracts, maintaining inventory.
- Ability to respond to instructions and pre-established guidelines to perform the functions of the job. Ability to work under immediate supervision.
- Must have a current Florida Driver's License with a clean driving record while meeting company insurance requirements.
