**Primary Purpose**: Facilitate the effective and efficient operation of the District fine arts program and to provide clerical services to the Director of Performing & Visual Arts.- RESPONSIBILITIES:
**Major Responsibilities and Duties**:

- Assist the Director of Performing & Visual Arts in keeping administrative records and preparing required reports.
- Maintain multiple financial records and budgets for district fine arts programs.
- Maintain a regular filing system, as well as a set of secure confidential files, and process incoming and outgoing correspondence as instructed.
- Catalogue and file instructional materials and maintain an inventory of supplies and equipment.
- Prepare purchase orders or requisitions for needed materials and release payment authorizations in a timely manner.
- Maintain supportive posture toward all fine arts program and activities.
- Exercise business communication skills when interacting with parents, booster clubs, vendors and community members.
- Maintain confidentiality.
- Take and transcribe dictation of various types, including correspondence, reports, notices and recommendations.
- Obtain, gather and organize pertinent data as needed, and put into useable form and forward to committees, community agencies, individuals and appropriate staff and administration.
- Maintain a schedule of appointments and make arrangements for conferences, interviews, luncheon meetings and travel arrangements for Director.
- Duplicate printed materials as needed.
- Compose visual presentations, pamphlets, flyers and programs for the Fine Arts department.
- Assist with District fine arts performances and events as needed.
- Assist with organizing and staging of the District art show.
- Attendance at work is an essential function.
- Other duties as assigned by the supervisor or designee.
- EXPERIENCE:
**Minimum Experience**:

- Five years of experience as a secretary or similar office experience preferred
- QUALIFICATIONS:
**Minimum Education/Certification**:

- High school diploma or G.E.D.
- Valid Texas driver’s license
- Eligible for coverage under the District’s vehicle insurance program

**Special Knowledge/Skills**:

- Proficient computer skills used to develop spreadsheets, databases, perform word processing and generate reports using Microsoft office and other district software systems
- Typing, file maintenance and copying skills
- Effective interpersonal and telephone skills
- Excellent organizational skills
- OTHER INFORMATION:
- Equipment Used: Computer, printer, copy machine, fax machine, binding machine, paper cutter, laminator and calculator.
