Scope and Responsibility:
Primary Responsibilities
- Supporting the GM with note taking from meetings and documenting what was communicated and all action items including who is responsible, for what, and by when. Distributing those notes and action items to all relevant teammates in a timely manner.
- Documenting process flow in all areas of the business, and keeping all documented processes visible and “alive” in all areas of the business, in efforts to create more efficiency and effectiveness.
- Researching issues, collecting facts and providing debriefs to the GM for decision making.
- Maintaining comprehensive and accurate records.
- Performing minor accounting duties as needed.
- Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary.
- Answering phone calls in a polite and professional manner.
- Managing the GM’s calendar, including making appointments and prioritizing the most sensitive matters.
- Admin functions - scheduling appointments, follow up on previous appointments or concerns (returning calls to customers and/or employees)
- Take notes during meetings for follow up
- Attend daily or weekly meetings to stay current with all GM activity
- Have regular daily communication with general manager
- Be willing to attend customer events and/or boat shows. Also attend manufacturer & training seminars, including other dealership visits.
- Scheduling and coordinating events, training, and meals (i.e. boat shows)
- Coordinating travel and hotel accommodations for employees attending Gordy related events
- Gather and review data to be analyzed by GM or Directors
- Maintenance and Auditing boat, customer, and deal records and paperwork
- Ability to be firm but fair with teammates when doing follow up on action items.
