**SUMMARY**:
Reporting to the County Engineer/Director of Public Works, the Administrative Assistant provides support services to the Department of Public Works (DPW) and the Talbot County Sanitary District (TCSD).

**ESSENTIAL DUTIES AND RESPONSIBILITIES** include the following:

- Manages and updates website for the DPW and TCSD
- Acts as liaison for DPW and TCSD with customers, local governments, vendors, and the public.
- Receives phone calls, answers questions, schedules and/or coordinates appointments or meetings.
- Greets visitors at DPW via person and by telephone, and assists with the flow of traffic and information at 215 Bay Street, Easton, Maryland.
- Reviews and/or approves procurement activities and contract preparation which includes direct purchasing of office supplies, emergency procurements, service/supply requisitioning and funding.
- Composes and ensures accuracy noting grammar and format of complex and/or confidential correspondence and reports
- Manages electronic and paper file system that includes invoices and other documents
- Prepares and processes Public Works Agreements for DPW and TCSD, and assists with maintaining Public Works Agreement files.
- Prepares expense accounts, mileage reports, check requests, and procurement documents for supervisor’s signature.
- Makes arrangements for travel, i.e., hotel reservations, flight reservations, etc.
- Secures and processes mail from the County Courthouse and mailbox and then distributes mail using the internal office mail system.
- Acts as a backup to assist other departments with routine administrative duties during absences.
- Performs other work related duties as assigned.

**QUALIFICATIONS**:
Graduation from high school or GED plus three years administrative or professional experience.

Detail/accuracy oriented

Proficiency in Microsoft suite

Excellent communication skills

Ability to prioritize and meet deadlines

Valid Driver’s license required

*Persons in this position may be required to work overtime to ensure that projects

Are completed on time.

Visual requirements for computer activities are essential.

It may be required occasionally for the employee to lift, move, push, or pull items weighing up to 25 lbs.

**WORK ENVIRONMENT**:
The employee routinely works with and around equipment such as copiers, binding machines, and scanners.

The employee may occasionally be exposed to dust, noise and extreme heat/cold if assigned to off-site locations.

The noise level in the work environment is usually quiet to moderate.
