Positions assigned to this class are a full or part-time termed administrative contractual non-attorney and non-career employee of the city appointed by the council, charged with performing administrative non-judicial and associate magistrate ministerial or clerical non-discretionary judicial duties in the absence or unavailability of the presiding magistrate and/or associate magistrate. May, in the absence of the presiding magistrate, or in instances where the presiding magistrate has been disqualified by the action of the prosecution, defendant, recusation on the part of the presiding magistrate, or other cause, a judicial assistant may perform ministerial or clerical non-discretionary judicial duties.

**Essential Duties**:

- The following are intended to describe core work functions of this classification. While the level and broad nature of essential duties may not change, specific work tasks may vary over time depending on the City’s needs._
- Conducts legal research using computerized legal research resources at the request of judges.
- Monitors compliance with rules, procedures of the court, legislation, and implementation of rule changes and makes recommendations.
- Provides administrative support including that of a confidential nature to judges and court administrators as needed.
- Assists and provides input in the development of the annual budget process.
- Serves as a judicial liaison for judges by answering, directing, and responding to incoming calls from the legal community, the public, court staff, and the Arizona Supreme Court.
- Performs research necessary to answer inquiries timely to resolve inquiries, issues and/or complaints and provide quality customer service internally and externally.
- Monitors and coordinates the judge’s calendar conflicts and communicates to the court administrator for timely sharing of information to court staff and attorneys for calendaring purposes.
- Responsible for development of jury instructions, and all jury trial forms as directed and assists as juror coordinator during jury trials.
- Assists in completing special assignments and projects.
- Assist in the retention and destruction of judicial work product as outlined in the AZ Supreme Court, Records Retention Schedule.
- Responsible for tracking and reporting COJET requirements on behalf of Judges to the Court Administrator.
- May preside over Homeless and Mental Health Court and serve on committees as directed by the presiding magistrate.
- May process plea agreements with definitive conditions not allowing changes by a judicial officer, continuances of pretrial matters, and initial appearances pursuant to Arizona Criminal Procedure Rule 4, and arraignments pursuant to Arizona Criminal Procedure Rule 14, and only uncontested hearings and motions.
- May serve as a hearing officer in civil cases.
- Support the city’s policies, goals and objectives and work with management and other staff to achieve such goals and objectives.

**Minimum Qualifications**:
Graduation from a college or university accredited by an agency recognized by the U.S. Secretary of Education or Council for Highter Education Accreditation (CHEA) with a Bachelor’s degree and five (5) years performing administrative, technical or operations support to include research and analysis, administration of programs, and/or project management with at least two (2) years of those five (5) served as paid full time experience in a Municipal Court, Justice Court or Superior Court system; OR an equivalent combination of education and experience.
- Preferred Certification from Institute for Court Management (ICM) Certified Court Supervisor._

**Depending on assignment**:

- Must complete New Judge Orientation and pass the exam as required by the Arizona Administrative Office of the Courts (Court) **_within eighteen (18) months of appointment;_**:

- May be required to attend Civil Traffic Hearing Officer (CTHO) Training and serve as a CTHO;
- Must complete Committee on Judicial Education & Training (COJET) education as directed by AOC on an annual basis.
