Job Description: Receptionist/Administrative Assistant
Pay Range: $18 - $22 per hour (Full-Time)
Position Summary
Seeking a professional and personable Receptionist/Administrative Assistant to join our team. This key role will manage the front desk and serve as the first point of contact for visitors, clients, and employees. The ideal candidate will be organized, detail-oriented, and capable of managing various office tasks with efficiency and discretion.
Responsibilities
Front Desk & Visitor Management:
- Greet and assist all visitors in a friendly and professional manner.
- Answer and route incoming calls, taking messages as needed.
- Maintain a clean and organized reception area.
Mail & Document Management:
- Sort and distribute incoming mail and packages.
- Prepare and send outgoing mail, including FedEx or UPS shipments.
- Scan and organize documents for digital storage.
Office Coordination:
- Handle travel arrangements for staff, including booking flights, hotels, and car rentals.
- Maintain office supplies and place orders when needed.
- Assist with scheduling meetings, managing conference room bookings, and arranging catering as required.
Administrative Support:
- Provide administrative support to the Controller and other departments as assigned.
- Manage data entry and ensure proper filing of documents.
- Assist in preparing reports, presentations, and correspondence.
Qualifications
Education: High school diploma or equivalent preferred
Experience: Previous experience in a receptionist or administrative role is a plus.
Skills:
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable learning new software.
- Strong organizational skills and attention to detail.
- Excellent communication skills, both verbal and written.
- Ability to manage multiple tasks and priorities in a fast-paced environment.
