The Medical Records Associate works as part of the medical records team performing those clerical duties necessary to manage and dispatch patient documents. Duties include scanning patient documents into the Practice Management platform, data input into Practice Management platform, gathering and verifying third-party information, answering incoming calls, scheduling appointments, and collecting fees. The Medical Records Associate will be cross trained to efficiently clear fax inbox daily and schedule appointments for patients new to the practice.
The hours for this position will be 8:00AM-5:00PM Monday – Friday, occasional weekends and evenings as necessary. After 90 days of employment, this position is benefits eligible for insurance, PTO, and paid holidays.

*Education/ Experience:*

· High School Diploma or equivalent

· Minimum 1 year Medicaid experience

· Preferred 1+ year experience in customer service/client facing role

· Must have valid Driver’s License and reliable means of transportation

*Job Requirements:*

· Adhere to company policies and procedures and all Federal, State, and local medical service requirements, including HIPPA Privacy & Security.

*Key Responsibilities:*

· Correspond to patient request in courteous and professional manner at all times.

· Ensures that each New Patient Packet is complete before their information is entered into the EMR platform.

· Inactivate discharged patient’s medical records at CEO’s request or approval.

· Ensures that letter of discharge or record release is provided to the patient once patient is inactive with practice.

· Scan documents and attach them to the patient’s medical records.

· Professionally addresses questions and concerns regarding patient documents from clinical and front desk staff.

· Comply with federal HIPAA regulations and practice policies for the privacy and security of patient information at all times

· Completes, mail and fax outside physician’s patient record request within a 24 hour turn around period.

· Lock, mail or fax Guarantor record request within a 24 hour turn around period.

· Lock, mail or fax all SSI Administration, DFACS and third-party patient record request within a 10 day turn around period.

· Lock, mail, or fax “Payer” record request, within a 10 day turn around period, upon the CEO’s approval.

· Downloads all faxes daily and attaches medical information to pertinent patient record.

· Scans external records and attach to the appropriate patient record.

Job Type: Full-time

Pay: $17.00 - $20.00 per hour
