This role provides administrative support, in-field support, and various sales-related tracking support as well as project and event coordination for Company Route operations, and new distribution needs. Job Description: Essential Functions Route Transfers: Under limited supervision, engage with Local Purveyors (LPs) to support route transfers. Responsible for providing LPs with a closing document list, following up with multiple departments (finance, legal, BDMs, etc.) on the status of the close date, validating closing requirements, and communicating the finalization of the close. Company Route Operations: Provide administrative support to department leadership to schedule meetings/conference calls, complete CEA/CAF forms, generate department purchase orders, and book travel arrangements. Support onboarding of Company Local Purveyors (CLPs) by coordinating travel, training, and requesting equipment/access. Data Maintenance – Responsible for maintaining both the Local Purveyor Contact Sheet and New Store Openings. The LP Contact Sheet is updated daily to ensure current LP information is readily available in case of recall or other emergencies. The New Store Opening Dashboard is a single source of data to track new national chain store openings for the purveyor network for the executive team and other departments. Administers Interim Service Agreements for new stores and validates maturity with PRMs at 1-year anniversary. LP Recruiting & Development – Facilitates Local Purveyor application and development. This includes overseeing a system to track candidates from application and throughout the process with the ability to provide regular updates to management. Additionally, it includes the coordination of in-market experiences with veteran LPs, BDMs, PRMs, etc.; solicits feedback from participants and hosts; and debriefs Recruiting & Development Manager. Coordinates scheduling of Panel Interviews along with pre-panel interviews with senior management. Prepares Panel packets to be delivered in advance to Panel participants for an overview of the candidates. Other Administrative Duties: Supports the Sr. Director of Sales as necessary on additional projects and scheduling as necessary. Education and Experience Bachelor’s degree in Business, Communications or similar program preferred or three (3) to five (5) years of related experience working with sensitive/confidential information. Proficient in Microsoft Office including Excel. Working knowledge of Salesforce preferred. Ability to work under pressure while maintaining accuracy and professionalism. Carry a high degree of diplomacy when interacting with colleagues in different departments, of substantially higher rank or outside the organization.
