POSITION SUMMARY


As the Office Manager, you will report directly to the Administrator and work closely with both clinical and administrative staff, ensuring a seamless integration of administrative, billing, scheduling, and clinical support. You will oversee various office functions, including billing, front desk, administration, marketing, clinical team support, and human resources. Your role will involve optimizing processes to enhance clinic efficiency, staff productivity, and overall patient satisfaction. By facilitating key performance objectives and supporting team development, you will play a pivotal role in achieving the clinic's strategic vision.

PERFORMANCE OBJECTIVES

  • Process Optimization: Oversee financial, IT, and administrative systems to ensure efficient and effective clinic operations.
  • Team Leadership: Lead regular employee development sessions, performance reviews, and progressive discipline as needed, ensuring all are documented through monthly 1-on-1s, alignment conversations, and goal-focused discussions.
  • Staff Training: Coordinate and oversee the training and onboarding of new hires, with continuous training support for clinical and administrative staff.
  • Scheduling and Workflow: Plan and coordinate schedules for administrative and clinical teams, ensuring a frictionless experience for both staff and patients.
  • Patient Acquisition and Retention: Facilitate and support the marketing team to drive client acquisition through effective campaigns and use of IT resources.
  • HR Administration: Oversee payroll and benefits, and respond to employee inquiries regarding HR matters.
  • Compliance and Standards: Ensure compliance with HIPAA, OSHA, and other regulatory standards, with regular audits to maintain high standards.
  • Clinical Support: Collaborate with clinical team members to support treatment planning, workflow efficiency, and service quality improvements.
  • Financial Management: Track and manage clinic revenue, including billing, collections, and maintaining orderly cash flow.
  • Orchestrated Sales Process: Engage prospective patients, ensuring a satisfactory experience that converts leads to committed patients.

EDUCATION & EXPERIENCE

  • Educational Background: Bachelor’s degree in Healthcare Administration, Business Administration, Human Resources, or related fields.
  • Management Experience: 5+ years of experience in a managerial role, ideally in a healthcare or private practice setting.
  • Team Development: Experience in team building and maintaining a positive, aligned work culture.
  • HR Experience: 2+ years of recruitment and HR experience preferred; HR certification (PHR, SHRM-CP) is a plus.
  • Clinical Support: Familiarity with HIPAA, OSHA standards, and clinical operations in a healthcare setting.
  • Communication: A strong command of intentional communication skills is pivotal for success. Bilingual (ASL and/or Spanish) is an added benefit
