Provides administrative support for the HR organization in areas of audits, reports, employee records, electronic filing, and assisting Japanese expats as well as translation assistance to the Chief Executive Officer. Some flexibility of work schedule is needed to support the timing of meetings requiring translation support.
Essential Functions:
Responsibilities that are requirements in order to perform the job:
- Translate monthly business reports for CEO
- Participate in executive management meetings to translate for the CEO and other executive team expats
- Support executive expats with web meeting translations and occasional day trips to support in person
- Support the company's annual payroll, 401K and worker's comp audits
- Assist Japanese expats with their U.S. assignment including making arrangements for housing, utility setup, health insurance, hotel reservations for business trips, interpretation, and be the go-to person for any questions or other assistance as needed
- Make purchases on company P-card if necessary
- Prepare company gatherings as needed
- Open and sort mail for Human Resources
- Assist with open enrollment preparation
- Electronic filing of employee personnel records in ADP and archived HR records in Box and Docuware
- Mail packages, letter, and employee notices
- Order office supplies
- Interface with vendors that come in (pest control, rugs, repair people)
- Kitchen duty (dishes, restocking kitchen supplies)
- Generate and distribute any special reports as requested
- General administration support for the HR department and the larger organization as needed
Supportive Functions:
In addition to performance of the essential functions, this position may be required to perform a combination of supportive functions based on business needs:
- Other assignments as delegated or assigned by management
Knowledge, Skills & Abilities:
The individual must possess the following knowledge, skills and abilities and be able to explain and demonstrate that he or she can perform the essential functions of the job, with or without reasonable accommodation:
- Proficiency in MS Word, Excel, PowerPoint
- Strong written and verbal communication skills
- Ability to effectively interact with employees in a friendly, positive manner
- Must be organized, detail oriented and willing to take initiative
- Proficiency in company policy, payroll law, and regulations regarding expat assignments
Education/Experience Guidelines:
- 2-4 years administrative support experience
- College degree preferred
- Bi-lingual (both written and verbal) English/Japanese required
