Job Overview:

As a Client Liaison Specialist, you will play a crucial role in managing the transition of new clients from their initial inquiry to active case management. You will be instrumental in ensuring that all client information is accurately captured, their needs are assessed promptly, and that cases are prepared efficiently for legal proceedings. Your role will involve direct communication not only with clients but also with insurance companies and medical offices to gather and verify necessary information. This position focuses on providing exceptional client service, maintaining clear and effective communication, and supporting case managers and legal assistants with administrative tasks.

Key Responsibilities:
 
  • Serve as the primary point of contact for new clients, ensuring a warm, professional initial experience and setting the tone for ongoing engagement.
  • Conduct initial client interviews to gather comprehensive case details, clarify the scope of legal needs, and assess urgency.
  • Coordinate with Intake Specialists to ensure all relevant client information is accurately transferred and understood.
  • Prepare and review client files before they are handed over to Case Managers or Legal Assistants, ensuring completeness and accuracy.
  • Maintain regular follow-ups with clients to gather additional information, provide updates, and manage expectations throughout the case preparation phase.
  • Assist in the development and implementation of protocols to enhance client intake and case management processes.
  • Collaborate with legal teams to ensure that all client interactions and communications align with firm standards and legal requirements.
  • Provide administrative support to case managers and legal assistants, including scheduling, document preparation, and database management.
  • Facilitate client satisfaction surveys and feedback mechanisms to identify areas for improvement in client service and engagement.
Requirements:
 
  • Bachelor’s degree in Legal Studies, Communications, Business Administration, or related field preferred.
  • Proven experience in client service or client management, preferably within a legal or professional services environment.
  • Strong understanding of personal injury law and legal procedures is highly advantageous.
  • Exceptional interpersonal and communication skills, with an emphasis on empathetic client interactions.
  • Detail-oriented with a strong commitment to accuracy and confidentiality.
  • Ability to work in a fast-paced environment and manage multiple priorities.
  • Proficient in MS Office
  • Experience working in Litify case management software preferred,.

  • Hybrid Schedule after initial training period.    Hybrid schedule spilt: 3 days working in office – specifically Tuesday’s and Wednesday’s and the third day is per the discretion of employee and supervisor.

Work Environment and Schedule:

This position is offered as a hybrid role, requiring the successful candidate to be present in our office three days a week. However, it is important to note that during the initial training period, you will be required to work on-site at our office.

This intensive training phase is crucial for gaining a deep understanding of our operations, procedures, and the standards of service we expect when handling client interactions. The training period will last for a minimum of 30 days and may extend up to 90 days, depending on proficiency and the speed of acclimatization to our processes.

Following the completion of training, you will transition to the hybrid schedule as detailed in the job offer.

This structure is designed to ensure that you are fully equipped and confident in your role, enabling you to provide the best possible service to our clients and effectively support our legal teams.
