Position Overview

The Temporary Records File Preparation Clerks will work on a project to prepare paper student files for digitization. Following a clearly-documented procedure, the File Preparation Clerks will review files to identify and organize the permanent records that require digitization, and will manage the secure disposal of all remaining records.

Essential Requirements, Duties, and Responsibilities:

● Learn and uphold principles and procedures for record retention at Antioch University

● Sort files in accordance with record retention policy

● Prepare permanent records for digitization

● Prepare non-permanent records for secure disposal

● Other responsibilities as assigned

Knowledge, Skills, and Abilities:

● Excellent attention to detail

● Ability to take direction

● Ability to uphold confidentiality

● Ability to evaluate written materials in accordance with documentation to assign them to categories

● Evidence of reliability and follow-through

● Some familiarity with terminology and concepts commonly used in higher education

● Ability to manage multiple requests, motivation to meet or exceed stated deadlines, or to communicate reasons for delay, as well as escalating scheduling or fulfillment conflicts to the director

● Demonstration of initiative and problem-solving orientation

● Commitment to collaborative teamwork, providing back-up as needed, willingness to learn new skills

● Ability to identify technical and service issues and escalate to the director when needed

● Proactive, strategic, and detail-oriented approach to work with a solid commitment to quality, efficiency, and effectiveness

Minimum Qualifications:

● High school diploma or equivalent

Preferred Qualifications:

● Experience in an office environment

Physical Requirements:

● Required to sit or stand

● Move between the work table and filing cabinets

● Reach with hands and arms

● Bending as needed

● Carry files less than 25 pounds

● Open filing cabinets

● Reading handwritten and typed words on paper

● Handling sheets of paper and cardstock

● Use of hands and fingers or tools to remove clips and staples

● Discern between essential and non-essential documentation using an exemplar file for reference. ● The essential functions represent the basic job duties that an employee must be able to perform, with or without a reasonable accommodation. Work Environment

● This is an in-person, on-site at Yellow Springs, OH location

● This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines. ● This is a full-time temporary position. A work schedule will be established in consultation with the supervisor.
