(Student) Advancement Assistant

DEPARTMENT: Advancement-Operations

WORK LOCATION: Grand Rapids - Lettinga Campus

POSITION PAY RANGE: $12.00 - 12.50, Hourly (Please note: Actual pay offered will be commensurate with candidate qualifications and experience, the type of role, pay equity and available funding)

SUMMARY:

This position provides support to the Alumni & Development team as needed. Candidate will work with all aspects of alumni, development, marketing, and communications and obtain real-world experience via daily tasks and projects. The position will be from May - August. \

RESPONSIBILITIES:

* Responsible for creating, maintaining and updating files and record keeping systems.
* Generate reports, correspondence, presentation materials, spreadsheets and graphics, and other materials using various software programs for the Advancement Office.
* Assist with special events and functions as needed.
* May be responsible for greeting visitors, as well as answering and routing incoming calls.
* Handle documents and donor records while maintaining appropriate confidentiality.
* Conduct special projects, research and assignments as needed.
* Update social media content calendars and the Alumni & Development Communication calendars.
* Help with database and website management in regards to constituent records, events and communications.
* Send event reminder and thank you emails to event attendees.
* Write and send thank you notes to donors and alumni after events and making year-end gifts.
* Update the class notes and mail out alumni membership cards.
* Attend donor and alumni meetings and engagements.
* Work with the Annual Giving Officer to maintain accurate and efficient pledge processes including tracking, reporting and updating constituent records.
* Provide GREAT customer service, anticipating and exceeding the needs of our customers.
* Understand and abide by all external and internal regulations and policies. This includes NCAA, GLIAC and national affiliations associated within athletics or other role specific regulations.
* Demonstrate and promote the University Cultural Values.
* Perform other duties as assigned.

QUALIFICATIONS:

* High School Diploma or GED equivalent.
* Must be work study eligible.
* Must be enrolled in a minimum of 6 credit hours as an undergraduate student or 3 credit hours as a graduate student while meeting the standards of academic progress.
* Experience in office setting preferred but not required.
* Must be proficient with Microsoft Office, including Word and Excel.
* Excellent interpersonal skills that transcend diverse audiences; communicating to university customers with positive attitudes toward change, confidentiality, and conflict resolution.
* Demonstrated motivational and problem solving capabilities with a high degree of integrity, ethics, and dedication to the mission of the University
* Business office environment. Prolonged sitting and standing. Use of personal computer and telephone (eye and hand strain).
* Some travel between locations may be required (own transportation). No regular lifting requirements, occasional lifting up to 35 pounds.
