General Purpose of Job:
The Special Projects Coordinator is responsible for coordinating support for Development Services and the Director. Briefly describe the job's primary purpose or contribution to the department or organization. Assists in the overall coordination of the development services operations. Performs a variety of administrative support duties to assist the Development Services team. Assist with department-wide special projects and ensure smooth operations in Development. Will support with the database management system, Raiser's Edge, by updating, extracting and reporting on relevant information.

- Uses both Microsoft Office and Raiser's Edge to perform a variety of assignments. Gathers data and other necessary information for preparing various reports. Types and reproduces written materials or correspondence.
- Will assist with the gift processing function as needed with gift recording and acknowledgment letters.
- Will support the accounts payable function of the department, which include verifying vendor invoices, matching invoices with purchase orders, processing payments promptly, handling billing discrepancies and maintaining payment records. Will submit expense reports in Concur for the Development team.
- Assist with Special events, as needed.
- Answers/screens incoming telephone calls and routes call to appropriate individual or takes messages as appropriate. Responds to inquiries and requests from donors and services provided by the Development department.
- Opens, sorts and distributes incoming mail. Uses tube system to send or forward written materials to other parts of the hospital. Utilizes couriers, the US Mail and delivery services as needed.
- Supports the Executive Assistant with PTO and approving timesheets in Kronos.
- Submits maintenance request.
- Prepares and tracks contracts for the development for submission to the Legal Department
- Responsible for preparation of requisitions for office/training supplies and equipment.
- Maintains files for all Special Purchase Requisitions and corresponding Purchase Orders and other related documentation.
- Responsible for making travel arrangements for Director and others including all necessary paperwork, reservations, check requests, travel reimbursements, etc.
- Responsible for timely, effective notification/communication of employee training events/programs.
- Maintains utmost level of confidentiality at all times.
- Adheres to hospital policies and procedures.
- Demonstrates business practices and personal actions that are ethical and adhere to corporate compliance and integrity guidelines.
- Maintains composure, effectiveness, and flexibility under pressure.

Education and/or Experience:
- Bachelor's or Associate's degree (A. A.) or equivalent from two-year college or technical school; or 1-2 years of administrative experience and/or training; or equivalent combination of education and experience.
- Knowledgeable in Raiser's Edge and Workday, preferred.
