As a Service Administrator, you are responsible for supporting all administrative needs of the service department in concert with the shop personnel to ensure all work scheduled is performed to the customer's satisfaction.

Job Duties:

* Greet customers as they enter our facility and create a welcoming atmosphere.
* Answer incoming phone calls and respond to customer inquiries promptly and professionally.
* Handle email correspondence with efficiency and accuracy, addressing customer concerns and providing necessary information.
* Provide clear directions and guidance to customers, helping them find their way to our facility.
* Efficiently check customers in using designated check-in forms, ensuring accurate and complete information.
* Utilize the KARMAK system to open repair orders and maintain accurate records.
* Generate repair quotes based on the diagnosis provided by our technicians.
* Add tasks to repair orders, ensuring that all necessary repairs are documented and scheduled appropriately.
* Proofread and edit technicians' stories to present them in a polished and customer-friendly manner.
* Finalize repair orders, ensuring all necessary documentation and approvals are in place.
* Generate service repair invoices accurately and efficiently.
* Proactively follow up with customers on the status of their repairs, providing updates and addressing any concerns.
* Communicate with customers regarding payment options and follow up on past-due invoices using our various payment methods.
* Handle cash counting and credit card processing with accuracy and attention to detail.
* Facilitate technician time entry to ensure accurate tracking of labor hours.
* Collaborate and communicate effectively with all departments on various branch matters.
* Organize and maintain paperwork, ensuring proper filing and documentation.

Work Experience and Qualifications:

* High school diploma or equivalent.
* Previous experience in an administrative or customer service role is preferred.
* Excellent communication skills, both written and verbal.
* Strong attention to detail and ability to multitask effectively.
* Proficient in using computer systems and software, including MS Office Suite.
* Familiarity with KARMAK or similar service management systems is a plus.
* Outstanding customer service skills and a friendly, professional demeanor.
* Ability to work in a fast-paced environment while maintaining a high level of accuracy.
