Position Description

Event Strategy and Coordination

* Works with the Director of Donor Engagement to drive, coordinate, and implement External Relations' annual event strategy comprising of approximately 20 events led by various stakeholders, including Radcliffe Day, regional donor cultivation events, programming during Radcliffe and Harvard College Reunions, giving society events, advisory council meetings, and stewardship events.
* Develops strategy and programming memos, maps out a calendar of events, ensures stakeholders advance event planning, writes event briefings, tracks event budgets and assesses impact to inform departmental engagement strategy. Maintains the department's list of potential and historical event speakers, topics, and hosts. Works with the Director of Donor Engagement to ensure that events are developed and implemented in ways that will advance fundraising priorities.
* Manages the day-to-day working relationship with Radcliffe Events, ensuring effective collaboration through identified roles and responsibilities, implementation of clear policies and best practices, and timely information sharing.
* Determines invitation criteria, submits data requests, confirms accuracy of invitation data, and monitors RSVP information. Creates event seating arrangements.
* Maintains templates for briefings, invitations, speaker and host recruitment, reminder and confirmation emails, and post-event follow-up.
* Coordinates drafting, review, and sending of event communications: invitations, reminders, follow-up, and thank you messages and gifts for speakers and hosts. Collaborates with Communications on development of event marketing materials.



Flagship Event Project Management

* Partnering with stakeholders, project manages flagship events. Develops project plans; organizes planning meetings; generates agendas, minutes, and follow-up items; prompts action items and ensures deadlines are met; and informs stakeholders of progress. Maintains the Radcliffe Medalist pipeline and prompts prioritization and review to inform future planning.
* Manages complex, segmented invitation lists, and invitation mailings. Ensures outreach strategies drive target audience engagement and advance event objectives.
* Continuously assesses the efficiency of projects via project team debriefs using a growth mindset. Conceptualizes, collects, and analyzes robust project metrics to inform future strategies. Solicits and incorporates feedback from project partners, colleagues, and donors to continuously improve outcomes.

Leadership Society Support

* Provides strategic and administrative support for the Leadership Society, which recognizes and stewards HRI's annual leadership ($5K+) donors; collaborates with the Director of Donor Engagement, Director of Annual Giving, and Leadership Gifts Officer to advance a cohesive Leadership Society strategy across departmental work streams.
* Maintains a calendar of stewardship and engagement opportunities, coordinates engagement events, manages stewardship mailings, prompts the development of impact and stewardship materials, and ensures Leadership Society donors are recognized in relevant ER and HRI communications.



Data Management and Reporting

* Maintains accuracy of ER event data and Leadership Society donor information in Harvard's Alumni Affairs & Development database (Advance); reviews monthly data related to fundraising and engagement goals for Leadership Society and maintains donor lists and documentation in Advance.
* Builds expertise in Salesforce, HRI's constituent relationship management (CRM) system; attends HRI CRM meetings, reports out on key updates, and identifies opportunities to leverage Salesforce to inform ER business processes.
* Tracks, monitors, and reports on ER donor engagement trends, KPIs, and benchmarks; pulls reports, analyzes event, and prepares presentations for leadership and other stakeholders.

Job Summary

The Harvard Radcliffe Institute (HRI) is actively seeking a collaborative, detail-oriented, and proactive Donor Engagement Officer. This role involves driving external events and initiatives that promote donor and affiliate cultivation, engagement, and stewardship. Reporting directly to the Director of Donor Engagement, the Donor Engagement Officer fulfills a key role in the External Relations (ER) team.

Key responsibility areas:

* Annual Event Strategy: The donor engagement officer spearheads the ER team's annual event strategy, ensuring impactful and memorable experiences for donors and affiliates. Notably, this includes managing flagship events such as Radcliffe Day and the Institute's 25th Anniversary Celebration scheduled for Fall 2024.
* Support for Leadership Society: The donor relations officer provides strategic and administrative support for the Radcliffe Institute Leadership Society, which comprises donors contributing $5,000 or more annually.
* Data Maintenance and Reporting: The donor engagement officer oversees data maintenance related to donor engagement initiatives, ensuring accurate and timely reporting.

As the Institute approaches its 25th anniversary, the ER team will engage our affiliate and donor community in a yearlong celebration. This milestone anniversary serves as an opportunity to honor Radcliffe's distinctive legacy, remarkable impact, and exceptional promise. The Donor Engagement Officer will play a pivotal role in advancing donor engagement initiatives during this significant period.
