SUMMARY STATEMENT: Under the direction of the Seminars Director support the live and online production and execution of continuing legal education seminars and general CLE Division administrative needs including but not limited to customer service, marketing, surveys, credit reporting, and program and event staffing.

RESPONSIBILITIES AND DUTIES:
  1. Assist Seminars Director and coordinators with course planner and faculty correspondence, course book production, collection and proofreading of biographical and marketing materials, program staffing, catering and related duties.
  2. Serve as primary liaison between CLE Division and satellite seminar locations; conduct site visits, reserve sites, ensure appropriate materials, forms, publications, etc., are sent to sites prior to programs and are collected after programs; serve as contact for technical issues; liaise with site caterers; collect, approve and submit catering and site rental invoices for payment; ensure payments are timely made to vendors.
  3. Send seminar surveys to live and live webinar attendees before the end of each program. Close electronic surveys and compile paper/electronic survey results and send to CLE Director, Seminars Director, and appropriate seminar coordinators.
  4. Assist seminars and distance education staff, as needed, with customer service for live and online seminars.
  5. Serve as back-up for Distance Education Director for online program and credit questions; serve as back-up for CLE Registrar.
  6. Manage collection of live webcast and on-demand attendance reports, enter in excel spreadsheet and submit timely reports to Commission on CLE and Specialization.
  7. Oversee CLE Division office equipment maintenance and supplies, to include: serve as primary point of contact for office supplies, equipment and refreshment vendors and equipment repairs; submit orders, receive and distribute refreshments and supplies; receive, review, approve and submit payments for all office-related invoices from vendors and equipment repair contractors.
  8. Serve as primary telephone relief for receptionist.
  9. Assist the Publications Director with routine manuscript proofreading.
  10. Provide administrative assistance to CLE Director with correspondence to members, the Commission on CLE and the Court.
  11. Other duties as assigned.


REQUIRED EDUCATION, EXPERIENCE AND SKILLS: Associate's degree or high school diploma/equivalent with two years' work experience; organized, detailed oriented and a team player; ability to interact with volunteers, customers, and the public; excellent customer service and follow-through skills; proficiency in word processing and data entry; excellent grammar and communication skills; ability to work with minimal direct supervision; ability to perform at a rapid pace with minimal errors; ability to work under pressure to meet critical deadlines; proficient in the Microsoft Office suite of software; ability to work overtime as needed.

PHYSICAL REQUIREMENTS: Capable of performing physically demanding tasks associated with office building and supply duties. Ability to lift, carry and move equipment and materials of up to 40 pounds. Ability to travel.
