The position of Executive Assistant - Marketing Team is responsible for assisting the Chief Marketing Officer, Chief Commercial Officer and providing daily support to the Marketing team. Responsibilities include meeting coordination, securing travel arrangements, project management, preparing important documents and preparing expense reports.

Responsibilities

  • Manage and maintain executives' schedules.
  • Works closely and effectively with senior leaders to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
  • Prepare invoices, reports, memos, letters, financial statements and other documents.
  • Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.
  • Reconcile purchase card and expense reports for executives.
  • File and retrieve corporate documents, records, and reports.
  • Perform general office duties such as maintaining records management systems, and performing basic bookkeeping work.
  • Arranging detailed travel plans for executives.
  • Communicate with people outside the organization, representing the organization to customers, the public, and other external sources.
  • Manage sensitive matters with a high level of confidentiality and discretion.
  • Contribute to event planning and off-site meetings. Research event-related options and assist with preparing budget proposals, communication pieces, and oversee event logistics.
  • Prepare responses to correspondence directed to the executives.

Experience

  • High school diploma or Associates or bachelor's degree in Business or related field, highly desired.
  • Three (3) or more years' experience providing executive level administrative support, or equivalent combination of education and experience.

Skills

  • Proficient in Microsoft Word, Excel and PowerPoint.
  • Strong communication skills, oral and written and exceptional organizational skills.
  • Must handle confidential information responsibly and exercise good judgment regarding privileged information.
  • Flexibility and ability to deal with changing priorities.
  • Strong organizational, analytical, and planning skills.
  • Ability to work effectively with others in a friendly, professional manner.
  • Self-supervised and disciplined to prioritize and complete work on a timely basis.
