Senior Mammography Program Coordinator

4 months ago

Brookline, United States Dana-Farber Cancer Institute Full time

Overview

Community Health programs further DFCI's community outreach mission by addressing the needs of historically marginalized and at-risk populations to reduce health disparities in cancer and to increase awareness about prevention, screening, early detection, and clinical trials. Working under the supervision of the VP of Community Health and the Program Manager, the Senior Mammography Program Coordinator will be highly visible in the community and will be the face of DFCI on the mammography van in communities in Boston and surrounding areas.

This position has as its primary responsibility the day-to-day operations of the DFCI mobile mammography program and therefore requires a high level of independence, resourcefulness, and proactive attitude. The Senior Mammography Program Coordinator role includes approaching patients with cultural competence and tailoring interactions with care and compassion. The coordinator will use various office software to prepare for and execute the clinic day. This position also requires knowledge of the Institute's practices and policies and serves as a liaison internally and externally to provide comprehensive mammography services.

Located in Boston and the surrounding communities, Dana-Farber Cancer Institute is a leader in life changing breakthroughs in cancer research and patient care. We are united in our mission of conquering cancer, HIV/AIDS, and related diseases. We strive to create an inclusive, diverse, and equitable environment where we provide compassionate and comprehensive care to patients of all backgrounds, and design programs to promote public health particularly among high-risk and underserved populations. We conduct groundbreaking research that advances treatment, we educate tomorrow's physician/researchers, and we work with amazing partners, including other Harvard Medical School-affiliated hospitals.

This position is full time, working 4-10 hour shifts. This position's work location is onsite with up to one day per week remote. The selected candidate may only work remotely from a New England state (ME, VT, NH, MA, CT, RI).

Responsibilities

Under minimal supervision:

* In collaboration with the Program Manager and the VP of Community Health, work as an integral part of the mammography team to increase awareness about the importance of comprehensive mammography services that include imaging and breast health education.
* In partnership with community and corporate sites, perform patient outreach to verify mammography eligibility and complete all tasks related to patient registration including collecting patient information (race/ethnicity, religion etc.) and verifying insurance. These tasks require training on how to use the insurance databases, generating DFCI and BWH MRNs, collecting patient signatures for required forms via the e-sig pad, etc. (percentage of time per week: 50%)
* Prepare for screening days, including creating orders, scheduling appointments, and making reminder phone calls.
* Carry out coordination of care, which includes requesting and importing prior mammography imaging and reports as well as preparing cases for radiologists' interpretation.
* Work independently to ensure that administrative aspects of patient appointments are completed appropriately.
* Provide interpretation for non-English-speaking patients and/or facilitate access to interpreter services for patient communication.
* Review and distribute mammography results to patients and providers in a timely manner to ensure compliance.
* Navigate patients and clinical teams through diagnostic recommendations and scheduling.
* Track and monitor all diagnostic recommendations as required for regulatory compliance. Communicate these results to the Clinical Director of Breast Imaging as well as the Breast Imaging Manager.
* Input daily data into medical records, databases, and other systems.
* May be responsible for community outreach activities such as tabling at health fairs and/or corporate events under the direction of the Program Manager and cross-trained to provide coverage for DFCI staff at the Whittier Street Health Center mammography suite.
* May provide guidance and mentorship to interns.
* May field inquiries from external partners about mammography workflows.
*

Qualifications

* Associate's Degree/Bachelor's degree preferred or equivalent experience in related field.
* Five years of relevant experience within a healthcare setting.
* Previous customer service-related experience
* Bilingual (preferably Spanish speaking)

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

* Excellent written and oral communication skills.
* Strong knowledge of computer applications, including Microsoft Office applications (particularly Outlook and Teams).
* Strong customer service skills and the ability to interact professionally with peers, leadership, and external contacts.
* Must possess the ability to maintain confidentiality and be detail oriented.
* Excellent ability to organize, prioritize, and follow through.
* Be able to work independently in a fast-paced environment.
* Ability to effectively manage time and prioritize workload.
* Commitment to cultural humility and cultural safety.
* Ability to provide own transportation to and from mammography van sites. This includes sites outside of public transportation.
