Your mission

The principal responsibilities of this position are to provide administrative and IT support to students, staff from various departments, faculties, and visitors, while consistently maintaining a professional representation of the University.

In terms of IT tasks, the role involves installing and maintaining computers, software, and network systems under the direction of the global IT department. Also, will be responsible for managing IT tickets for the Paris office in accordance with the global policy and will manage specific IT tasks and projects assigned by the head of technical services.

Providing support at campus events and overseeing classrooms and building maintenance when necessary is part of the Office Assistant responsibilities. The position entails offering initial information to prospective students and promptly communicating any incidents to the Campus Director or other appropriate staff.

Front Desk & Office Assistant may also be called upon to participate in projects undertaken either at the Paris Campus or on a global scale.

Your profile

Front Desk:

* Active Directory Administration (Azure).
* Management of services related to Microsoft 365 (Exchange, SharePoint, Teams, etc.).
* Technical support to users in IT environments.
* Use of ticketing applications for documentation and task tracking.
* Orientation to new employees on available technologies.
* Maintenance of a detailed inventory of equipment and software.
* Proactive prevention of technological failures.
* Repair of hardware, software and network systems.
* Monthly reporting on the status of systems and activities performed.
* Manage access control cards.

Office Assistant:

* Welcome and guide guests and students to the campus, manage incoming phone calls, and handle mail processing.
* Answer the main campus phone line and provide general information about the University and give guidance to the appropriate office or person for the issue at hand.
* Direct student traffic to administration and faculty offices.
* Receive, sort, and deliver mail to staff, faculty and students.
* Prepare official correspondence for posting, including express shipments and registered mail.
* Coordinate local events, e.g., graduation ceremony.
* Coordinate facility and maintenance issues with the building supervisor.
* Support faculty, staff, and management with administrative tasks.
* Provide general information about the Paris community.
* Work collaboratively with all members of the operations and academics team to ensure student and graduate success.
* Strengthens the reputation of the University by driving excellence in all we do and promoting professionalism with all stakeholders.
* Maintains effective communication with students, staff, and administration.
* Ensures that campus events run smoothly.
* Participate in departmental, campus, university, and in-service meetings.
* Participate in university-wide conference calls as required.
* Disseminate and share best-practices with counterparts.
* Develop collaborative relationships with faculty, other university employees and management.

Position requirements

* Bachelor's degree plus Office Assistant experience
* Required qualification: BTS SIO - SISR "Solutions d'infrastructure, systèmes et réseaux".
* Excellent written and verbal communication skills
* MS Office and Azure experience
* Strong knowledge of printers.
* High ability to work in global teams, collaborating with people located in different places.
* Fluent English and French
