Temp to Hire Administrative Assistant
Job Summary:
We are seeking a detail-oriented Administrative Assistant with strong typing skills and proficiency in Microsoft Office. The ideal candidate will have a keen eye for accuracy, particularly in matching numbers and data, and the ability to support administrative tasks effectively. Key Responsibilities:
- Perform general administrative duties, including typing, filing, and data entry.
- Use Microsoft Office (Word, Excel, Outlook, etc.) to create and manage documents, spreadsheets, and correspondence.
- Match and verify numbers, data, and records for accuracy.
- Answer phones, manage calendars, and schedule appointments as needed.
- Maintain organized records and files.
- Support the team with other administrative tasks as required.
Requirements:
- Proficiency in Microsoft Office (Word, Excel, Outlook, etc.).

Job Description:
We are seeking a meticulous and detail-oriented temp to hire individual to join our client's team as a Administrative Assistant. In this role, you will primarily be responsible for assisting in the procurement process and ensuring the seamless flow of purchasing operations. Your main duties will include processing invoices, maintaining accurate records, and providing essential support to the purchasing team. The ideal candidate will thrive in a fast-paced environment, possess exceptional data entry skills, and demonstrate a keen eye for accuracy and efficiency.
Key Responsibilities:
- Process invoices and purchase orders promptly and accurately.
- Verify and reconcile invoices with purchase orders and receipts.
- Maintain comprehensive and up-to-date records of purchases, deliveries, and payments.
- Assist in monitoring inventory levels and reorder points to ensure adequate stock levels.
- Communicate effectively with vendors regarding order status, discrepancies, and pricing negotiations.
- Collaborate closely with the purchasing team to expedite procurement processes and resolve issues promptly.
- Assist in identifying cost-saving opportunities and potential suppliers.
- Adhere to company policies and procedures regarding purchasing and procurement activities.
- Provide administrative support to the purchasing department as needed.
- High school diploma or equivalent; additional education or training in business administration or related field is a plus.
- Proven experience in data entry or administrative roles, preferably in a purchasing or procurement environment.
- Exceptional attention to detail and accuracy, with a strong numerical aptitude.
- Proficiency in Microsoft Office suite, particularly Excel, and experience with purchasing software or ERP systems is desirable.
- Ability to thrive in a fast-paced, deadline-driven environment and manage multiple tasks simultaneously.
- Excellent communication and interpersonal skills, with the ability to collaborate effectively with internal teams and external vendors.
- Strong organizational and time management skills, with a proactive and adaptable approach to work.
Work Environment: This position operates in a fast-paced office environment. The Purchasing Assistant will be required to sit for extended periods and perform repetitive tasks requiring constant attention to detail. The role may involve occasional lifting of packages or materials.
