The role:
The HR Operations Senior Specialist will be a part of the EMEA EAST HR Operation Center providing HR Ops services for a few countries in CEE, with main responsibility for the Bulgaria HR Operations and additional responsibility for Romania (providing services up to 300 employees). You will be based in Bulgaria (hybrid work 1 out of 5 days in the office in Sofia).
HR Ops Senior Specialist is responsible for Human Resources administration and payroll, process optimization, including but not limited to employment, on-boarding, absence management, documentation management, payroll data entry, and managing HRIS systems (Workday).
You will be part of the remote HR Operation Center responsible for various countries in EMEA EAST Region in SoftwareOne Group. This position reports directly to HR Operation Regional Lead (EMEA EAST Region). You need to be able to work within a remote team. Your leader and team members are spread around various countries.
In this position, you are the spider in the web for HR matters, you like to structure chaos and improve processes. You must be a data and process-oriented person and analytical thinker who likes to work with excel, systems (e.g. ticketing tool), documentation, and resolve various requests from leaders and employees. You will interact every day with local and international colleagues.
- Ensuring a best-in-class employee experience through a high level of service and operational excellence,
- Managing multiple and ad hoc requests on time with accuracy (we work with Service Now ticketing tool),
- Supporting workforce administration processes, data input in Workday (HRIS system) and other HR systems, and verification of required documentation on the designated HR employee life cycle activity, such as: enrolling new hires (HR systems, payroll, agreements), terminations, transfers, promotions, and alterations in salary, personal data, job titles, supervisors and departments,
- Updating personnel files and producing documents, for example, employment contracts, salary statements, deduction agreements, and salary notifications,
- Preparing data for monthly payroll process and liaising with the finance team and the payroll provider,
- Collaboration with auditors and local authorities,
- Supporting contractors administrative processes, like accesses, contract preparation, and workday HR system data,
- Ensuring employee data is up-to-date and accurate,
- Completing on-boarding and off-boarding activities,
- Continuous improvement of processes, execution, and technology usage,
- Answering and handling internal HR-related issues, as well as redirecting questions to other units,
- Contributing to key HR initiatives and projects.
What we need to see from you:
5+ years of professional experience in HR administration (preferably in modern digitalized company),
Relevant experience in Bulgaria (and openness to learning about other countries),
Very good knowledge of labor legislation in Bulgaria and nice to have for Romania,
Ability to demonstrate integrity and maintain confidentiality without authority,
Ability to set priorities and manage time in a fast-paced changing environment,
Process management thinking,
Analytical and data-driven approach (you must know very well Excel),
Fluent language skills both written and verbal, in Bulgarian and English required (you will also work with other languages with the usage of online translating),
Administrative and process orientation, accuracy, and attention to detail,
A team player who can work in a matrix environment,
Strong integrity and ability to self-manage,
You need to be able to work within a remote team. Your leader and team members are spread around various countries,
You will be based in Sofia (hybrid work 1 day out of 5 days in the office),
You must be able to travel internationally once a year for a team integration.
