Accounts Receivable Specialist

The Accounts Receivable Specialist:
- Assists the accounting department with billing, tracking and collections of accounts due and reconciling conflicts. They will perform duties to create and generate invoices, process accounts receivable transactions, apply and account for cash receipts and related reporting.
- Generate invoices, addendum billings, and credit memos for completed rental contracts, shows, and sales. Verify accuracy of documentation provided including appropriate approval, sales tax application, damage waivers, credit status, etc. Mail client invoices and file office copies according to department policy.
- Enter accounts receivable invoices in accounting system. Review entry to verify accuracy of information including account codes. Post transactions to general ledger. Verify that pass–through client charges (per diems) have been included on invoices and communicate discrepancies to appropriate parties.
- Enter daily deposits in accounting system and apply to appropriate client account balances. Track deposits and prepayments for reference with invoice preparation. Review credit card lists daily to determine that all documentation has been received for processing. Contact appropriate parties if differences exist.
- Maintain customer files in various systems. Ensure completeness of required documents such as sales tax resale certificates, insurance certificates, credit applications, correspondence, etc. Maintain related information as directed and communicate issues with appropriate parties. Issue W–9 forms when requested from new clients and prepare credit reference requests for established clients.
- Review daily aging report and provide information to accounting management and others as directed. Reconcile aging report on a regular basis and call attention to problem areas and accounts.
- Monitor accounts to identify outstanding debts
- Identify and contact debtors to arrange debt payoffs
- Prepare and assemble credit application worksheets for review by accounting management.
- Assist with month–end accounts receivable procedures as directed.
- Perform any range of special projects associated with the tracking, recording, compilation, or reconciliation of financial information as directed. May be assigned various projects depending on business needs.
Base Salary Range: $17.95/hour - $26.61/hour. This represents the low and high end of the company's base salary range for this position. Actual base salary range may vary based on various factors, including but not limited to experience.
