POSITION: Executive/Personal Assistant

LOCATION: West Palm Beach, FL (in office 5 days per week)

HOURS: 9:00AM - 6:00PM with flexibility and availability outside of work hours

COMPENSATION: $160-200K DOE

BACHELOR’S DEGREE: Required


Our client is looking to hire an experienced and dedicated Executive/Personal Assistant to manage the personal and business affairs of a high-profile individual and family. This person will support daily operations, manage schedules, coordinate meetings, and ad-hoc projects. This role is in person Monday-Friday with flexibility outside of work hours as well.


Responsibilities of the Executive/Personal Assistant:

-Serve as the primary point of contact between the individual and internal/external stakeholders.

-Provide high-level administrative support, including managing calendars, scheduling appointments, and organizing meetings.

-Coordinate and prepare materials for meetings, presentations, and reports.

-Handle confidential and sensitive information.

-Screen and manage phone calls, emails, and other correspondence.

-Draft, proofread, and edit documents, emails, and communications.

-Manage office supplies, equipment, and facilities.

-Coordinate travel arrangements, including flights, accommodations, and itineraries.

-Assist in planning and coordinating events, private dinners, receptions and business functions.

-Help manage logistics, invitations, and on-site support for events.

-Build and maintain strong relationships with key stakeholders, including clients, partners, and vendors.

-Handle inquiries and requests from family members and other VIPs with professionalism and efficiency.

-Conduct research on specific topics or gathering information.

-Research local services or businesses (e.g., finding a new dentist or gym).

-Coordinate with pharmacies for refills and new prescriptions.


Requirements of the Executive/Personal Assistant:

-Bachelor’s degree or equivalent experience.

-Minimum of 7-10 years of experience as an Executive Assistant, preferably in a family office or similar high-demand environment.

-Must have a high level of professionalism and integrity.

-Ability to work independently and take initiative.

-Strong problem-solving skills and attention to detail.

-Flexibility to work outside standard business hours as required.

-Verification of identity, education, prior employment, and references may be required.
