We are seeking an experienced Executive Assistant to support our President & CEO. This key position will provide comprehensive and top tier support to the President & CEO, the executive team and the Board of Trustees. The ideal candidate will be highly organized, resourceful, proactive and able to manage multiple priorities to meet competing deadlines. The Executive Assistant to the President & CEO must be able to streamline daily operations, use sound judgment and discretion and ensure the alignment of activities with strategic goals and priorities.


Responsibilities

  • Ensure the smooth operation of the office of the President & CEO to include managing complex email and calendar events; scheduling and preparing for meetings; triaging and facilitating all correspondence and ensuring that the President & CEO is provided with accurate and detailed information at all times.
  • Serve as the executive office "gatekeeper", balancing access to the President & CEO's time by creating optimal outcomes for both internal and external stakeholders.
  • Manage the travel schedule of the President & CEO to ensure that time spent outside the office is maximized and his calendar is up to date at all times.
  • Establish and maintain working relationships and act as liaison with staff for the Board of Trustees, business partners and other members.
  • Schedule and coordinate logistics for board meetings to include the advance preparation and distribution of presentations, briefs, talking points and other materials.
  • Work with members of the executive team on annual Board of Trustee activities including nominations, committee appointments and other items as necessary.
  • Maintain membership contacts as well as information on other key stakeholders.
  • Manage special projects and/or other functions to support the President & CEO as needed.
  • At all times handle confidential materials and information on behalf of the President & CEO with sensitivity and care.


Qualifications

  • 7-10 years experience as an Executive Assistant working with C-Suite executives.
  • Experience working with Boards of Directors/Trustees.
  • Knowledge of healthcare and/or the MA healthcare community strongly preferred.
  • Bachelor's degree or equivalent experience.
  • Exceptional organizational skills and attention to detail.
  • Demonstrated ability to function at a high-level in a fast-paced environment and the ability to handle multiple priorities simultaneously.
  • Strong interpersonal, customer service and problem-solving skills and the ability to build positive relationships with executives inside and outside the organization.
  • Ability to address and resolve problems as they arise, remove roadblocks and ensure smooth operation of the executive office.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office Suite, including a demonstrated ability to create presentations and graphics.
