Executive/Personal Assistant to Founder of Real Estate/Financial Services Firm

We are seeking a highly organized and polished Executive/Personal Assistant to support the Founder and CEO of a prominent financial services firm specializing in real estate. This is a unique opportunity to work closely with an esteemed leader and become an integral part of a dynamic team. The ideal candidate will serve as a trusted partner, managing the CEO’s correspondence, prioritizing their inbox, and liaising with high-level clients. This in-person role is based in Miami, with some flexibility for remote work (1-2 days a week) and increased flexibility during the summer months as the CEO travels.


Key Responsibilities:

  • Respond to emails on the CEO’s behalf, flagging and prioritizing messages to ensure timely and effective communication.
  • Manage the CEO’s calendar, scheduling meetings and appointments while ensuring optimal time management.
  • Act as an office manager when required, ensuring seamless operations within the executive office.
  • Coordinate comprehensive travel arrangements for both business and personal needs, interfacing with various vendors.
  • Handle light bookkeeping tasks and bill payments, maintaining accuracy and attention to detail.
  • Assist in the creation of marketing materials, press releases, and related documents, collaborating with third-party entities as needed.
  • Execute ad hoc personal assistant tasks and errands, working closely with the Principal’s family to accommodate their needs.


Qualifications:

  • Proven self-starter with a high level of motivation and professionalism.
  • Experience in a corporate environment; familiarity with real estate is preferred but not mandatory.
  • Minimum of 3 years in a similar Executive Assistant or Personal Assistant role.
  • Must reside in the Miami area.
  • Exceptional organizational skills and time management abilities.
  • Strong communication skills, both written and verbal, with a polished demeanor.
  • Interest in and understanding of the CEO’s business activities.
  • Notary certification is required, or the willingness to obtain it.
  • A reliable vehicle is necessary for running errands.


Location: North Miami Beach (In-person role with some flexibility for remote work based on the Principal's schedule)


Compensation: $110-120k DOE. Bonus, benefits, and other perks.
