POSITION OVERVIEW

The Scheduling and Authorization Coordinator plays a pivotal role in ensuring the efficient scheduling of patient appointments and obtaining necessary authorizations for needed services. This position requires excellent organizational skills, attention to detail, and an understanding of healthcare operations and insurance processes to provide a seamless patient experience and support clinical staff.


KEY RESPONSIBILITIES

Patient Scheduling:

  • Coordinate and schedule patient appointments, including evaluations, follow-ups, tests, and needed services.
  • Verify patient information, insurance details, and any specific requirements prior to scheduling.
  • Communicate appointment details to families / caregivers, ensuring they have necessary instructions and information.

Authorization Management:

  • Obtain pre-authorizations and referrals for services.
  • Maintain up-to-date knowledge of insurance policies, coverage requirements, and authorization processes.
  • Track and follow up on pending authorizations to ensure timely approval and minimize delays in patient care.

Patient Communication:

  • Serve as the primary point of contact for families / caregivers regarding scheduling, authorizations, and insurance-related inquiries.
  • Provide clear and accurate information to patients about appointment logistics, insurance coverage, and any required documentation.
  • Address and resolve patient concerns or issues related to scheduling and authorizations.

Coordination with Clinical Staff:

  • Work closely with clinical staff to coordinate schedules and ensure efficient workflow.
  • Communicate any changes or updates in schedules and authorizations to relevant clinical personnel.
  • Assist in preparing necessary documentation and information for patient appointments and procedures.

Documentation and Record Keeping:

  • Maintain accurate and organized records of patient appointments, authorizations, and communications.
  • Ensure all patient information is updated in the electronic health record (EHR) system.
  • Generate reports on scheduling and authorization activities as required by management.

Compliance and Quality Assurance:

  • Ensure all scheduling and authorization processes comply with organizational policies, insurance requirements, and regulatory standards.
  • Participate in quality assurance activities to identify and implement improvements in scheduling and authorization processes.
  • Stay informed about changes in healthcare regulations, insurance policies, and best practices related to scheduling and authorizations.
Requirements:
  • High school diploma or equivalent; associate degree or certification in healthcare administration or related field preferred.
  • Minimum of 1 year of experience in healthcare scheduling, insurance authorization, or a related administrative role.
  • Strong knowledge of medical terminology, healthcare operations, and insurance processes.
  • Proficiency in using electronic health record (EHR) systems and scheduling software.
  • Excellent organizational, communication, and customer service skills.
  • Ability to multitask, prioritize workload, and work effectively in a fast-paced environment.
  • Attention to detail and accuracy in handling patient information and authorization documentation.
  • Problem-solving skills and the ability to work collaboratively with clinical and administrative staff.
