The Leave and ADA Specialist is part of the Human Resources Operations team. The Specialist will oversee and administer leave requests and assist HR Business Partners with accommodations requiring specialized attention. They will manage leaves in compliance with the Family and Medical Leave Act (FMLA), Paid Family Leave (PFL), the Americans with Disabilities Act (ADA), state and local leave laws, and New York State Disability (DBL).

We are looking for someone we can count on to:Own:
  • Leave management in Workday. 
  • Employee and manager leave of absence communication.
  • Disability and PFL carrier communication and documentation. 
  • Leave paperwork and documentation.
Teach:
  • Accommodation discussion and interactive dialogue tips to HR Business Partners and Managers.
Learn:
  • The Library’s departments and processes. 
  • The Library’s absence management process in Workday and the liaison to our time-tracking system, eTime.
Improve:
  • Communication between employees, managers, HR, and Payroll on leaves of absence.
  • Intranet leave resources. 
  • Processes where possible 
Some expectations for this role are that within:
1 month, this person will:
  • Understand NYPL’s structure and leave processes.
3 months, this person will:
  • Manage leaves in Workday, with the disability/PFL carrier, and with employees, managers, and payroll. 
6 months and beyond, this person will:
  • Be a trusted resource for employees and managers on absence management and accommodations. Manage all Workday leave entries, leave documentation, leave communication, and accommodation conversations and documentation.
Responsibilities
  • Communicate with employees regarding their needs for leave. 
  • Ensures that employees are aware of their responsibilities and any documentation and notice required to qualify for and take leave.
  • Handles the FMLA leave administration process from the employee's initial notice of the need for leave to the return to work. This includes gathering and completing all required paperwork, determining leave eligibility, designating leave as FMLA-qualifying, requesting medical certification as needed, managing leave entries in Workday, and communicating with Payroll in a timely manner.
  • Maintains reasonable communication with employees on leave to facilitate a smooth and timely return to work; relays communication between employees and their managers during leave within reason.
  • Advises managers and employees on the interaction of leave laws with paid time off, workers' compensation, and short-term and long-term disability benefits.
  • Oversees the return-to-work process for employees returning from extended leave, workers' compensation, or other leave(s).
  • Facilitates other leave requests, which may include accommodation requests under the ADA.
  • Administers other company time-off programs in coordination with leave in accordance with internal policy and applicable laws.
  • Drafts and/or recommends revisions to company leave policies to ensure compliance with federal, state, and local laws and regulations.
  • Maintains complete and accurate records of leave and accommodation requests in accordance with specified legal requirements and documentation of best practices.
  • Preserves confidentiality of employee medical documentation and files.
  • Assists HR Business Partners with complex accommodation discussions, documentation, and decisions.
  • Maintains knowledge of all applicable leave and accommodation laws, including the FMLA, ADA, and state and local laws.
  • Performs other related duties as assigned.
