A DAY IN THE LIFE OF AN OFFICE COORDINATOR

As a Bilingual Office Coordinator, you will assist in providing customer service by greeting customers/delivery drivers at the sales desk, generating pick-up tickets, directs customers/delivery drivers where to drop-off/pick-up loads, if applicable. Answers phone and interview callers to see if you can provide answers to their questions otherwise, direct calls to the proper person/department. Create work orders as needed. Ensure work orders are set up properly to accommodate timely invoices upon job completion. Assist the Operations/General Manager in the scheduling of installation jobs as necessary. Coordinate with HR and Payroll on pre-employment, new hire and separation paperwork, employee timecards, etc. Assist all departments with any records filing, mailings, and additional administrative support. Order office supplies and assist in branch meeting preparation. Be a resource for field crews with problems, information, and customer service. Assist accounting department personnel with inventory preparation and reconciliations and with tracking the status of work orders. Become knowledgeable of vendor products and services.


Minimum Knowledge, Skills and Abilities Required

  • High school diploma or GED.
  • MUST be able to speak/read/write English and Spanish fluently.
  • Knowledge of construction business and/or 2-3 year prior related experience helpful but not necessary.
  • Ability to prioritize, work productively in an office setting, use good judgement and problem-solving skills while striving to always work safely.
  • Intermediate computer skills with ability to use MS Word, Excel, Outlook and ability to learn custom software.
  • Ability to perform basic math skills.
  • Ability to carefully attend to details.
  • Demonstrates a professional demeanor, strong customer service skills as well as shows initiative, is goal-oriented and self-motivated with a strong work ethic.
  • Ability to work independently and as part of a team.
  • Excellent interpersonal communication skills.
