The Administrative Assistant in Collections will be responsible for managing and reducing the company’s outstanding accounts receivables. This role requires a detail-oriented individual with excellent organizational and communication skills, who can effectively coordinate collection efforts, maintain accurate records, and perform administrative duties.

Available shifts 1 shift Monday to Friday8:00am to 2:00pmAccountant Duties and Responsibilities:
  • Assist in the management of the collections process, ensuring timely follow-up on overdue accounts.
  • Coordinate communication with clients regarding past due invoices and payment plans.
  • Maintain accurate records of all collection activities and correspondence in the company database.
  • Prepare and distribute weekly AR reports and reports reflecting the status of collections to the Collections Manager and Finance team.
  • Support and develop strategies to reduce the days sales outstanding (DSO).
  • Handle administrative tasks such as filing, data entry, and answering phone calls related to collections and office needs.
  • Collaborate with the sales and customer service departments to resolve disputes and discrepancies that may affect collections.
  • Ensure compliance with company policies and procedures, as well as state and federal regulations regarding debt collection.
Clerical Requirements and Qualifications
  • High school diploma or equivalent; associate’s or bachelor’s degree in finance, accounting, or related field preferred.
  • Minimum of 1-2 years of experience in an administrative role, preferably in a collections or finance environment.
  • Proficiency in Microsoft Office Suite, particularly Excel, and experience with ERP Systems.
  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Ability to work independently and as part of a team.
  • Knowledge of collections regulations and fair credit practices.
