The Clubhouse Attendant positions report to the General Manager, or their designee. These positions serve as assistants to the front desk team and in many cases may be the initial point of contact for residents of the Association, as well as the liaison to the Management Team of the Association. Customer Service and excellent customer facing skills are a priority in all interactions with homeowners and clubhouse guests. Clubhouse Attendants must work within the policies and procedures established by the General Manager and Board of Directors. This position will staff the front desk at times, and telephone etiquette and a pleasant demeanor are required. Clubhouse Attendants will be required to do some janitorial and cleaning duties and must have the ability to work independently and demonstrate good judgment.

RESPONSIBILITIES:

  • Opens and closes the clubhouse as per procedure.
  • Greets and assist residents as they come into the clubhouse with any questions or issues they might have. Checking passes of all residents and their guests who come in
  • Prioritize daily tasks, and handle day to day issues as they arise in a timely manner. Always try to solve problems immediately, but if unaware of the answers, take the residents information, and follow up later with the answer.
  • Maintain discretion and composure at all times. Keep all information that is learned while on the job as confidential.
  • Triage all telephone calls and in person resident concerns. Solve resident concerns where appropriate and escalate as needed to the appropriate Bella Trae personnel. Receive and direct visitors and clients to the appropriate person or place within the clubhouse and property.
  • Assist in maintaining the property and Association equipment as needed. This includes keeping workstations neat and tidy.
  • Perform all required clubhouse cleaning and janitorial tasks.
  • General clerical duties including photocopying, scanning, filing and mailing.
  • Assist with planning, registration, setup, execution, breakdown and cleanup of community recreational events, including holiday events.
  • Address residents and guests creating any safety concerns or who are in violation of Community Rules
  • Ensure coffee station is fully stocked at all times.
  • Assisting Management with any other duties as needed
  • Accurately document deficiencies, incidents, damages, or hazards and submit incident reports, work order and/or photos as directed by the Lead Maintenance Technician.
  • Work cooperatively with all other Association employees, and assist in team projects as needed at the direction of the Bella Trae Management Team.
  • Complete additional duties as assigned by the Bella Trae Management Team

REQUIREMENTS:

  • Maintain a flexible schedule.
  • History of providing excellent customer service.
  • Knowledge and operation of standard office equipment with basic computer skills and knowledge of relevant software: Microsoft Word, Excel, and Outlook.
  • Knowledge of basic principles and practices of office etiquette and understanding of clerical and administrative procedures as they pertain to basic office operation
  • Proficiency in the English language in both written and oral capacities, with strong communication skills
  • Demonstrates attention to detail and accuracy
  • Must be able to lift 25lbs+
  • Must be a team player with the ability to work independently
  • High School degree or equivalent, preferred
  • 16 hours per week
