Position Summary: This position is a critical link between sales/operation and administration and is responsible for oversight of the contracts administration staff, guiding work to be compliant with company contracts life cycle that include complex contractual and regulatory requirements.

Candidate Profile:

  • Bachelor’s degree preferred; or 10+ years contracts management/billing experience; or equivalent combination of education and experience.
  • 5 years demonstrated supervisory experience.
  • Thorough understanding of standard business principles and procedures
  • Strong project management skills; CPM a plus
  • Comprehensive experience using business Enterprise Resource Planning (ERP) system(s) (i.e., RentalMan) for analysis and reporting.
  • Strong analytical and problem-solving skills.
  • Strong supervisory and leadership skills.
  • Experience in a rental customer service environment preferred.
  • Exceptional communication, people, and organizational skills.
  • Excellent negotiation and influential skills.
  • Good judgment, with ability to set priorities, and handle multiple tasks simultaneously.
  • Effective listening and ability to communicate respectfully both verbally and written.
  • Understanding of varying sales contracts in a rental company and oil and gas billing procedures helpful (i.e., open invoice)
  • Canadian business experience a plus.
  • Understanding of oil and gas billing procedures preferred (i.e., open invoice).
  • A qualified candidate must be commercially aware but comfortable challenging all stakeholders.
  • Strong understanding of rental business contract life cycle.
  • Drive for results and quality to help company achieve standards of excellence.
  • Will manage contracts and billing teams and processes across the company.

Essential Duties and Responsibilities

  • In association with management, finance, and operations, develop, implement, and manage accounts receivable policies, procedures, and systems to ensure compliance with internal controls and administrative policies and timely and accurate billing of customers.
  • Evaluates, maintains, and improves efficiency of organization rental contracts life cycle.
  • Evaluates and makes recommendations for new systems to improve operations.
  • Generation and maintenance of KPIs for the contract management team
  • Develops and implements new procedures, policies, and systems to simplify and improve administration operations.
  • Monitors account aging reports, identifies delinquent accounts, and liaises with pertinent collaborators to ensure collection of billed rental invoices.
  • Audits methods and procedures of accounts receivable function to improve efficiency and to implement best practices.
  • Manages the investigation and resolution of billing discrepancies and errors.
  • Maintains knowledge of trends, developments, and best practices in the business administration profession; applies this knowledge to recommend and implement process and policy changes.
  • Continuous improvement champion.
  • Ensures that project/department milestones/goals are met and adhering to approved budgets.
  • Has full authority, in collaboration with Human Resources, over personnel actions across the division contracts administrative organization.
  • Other projects as assigned.
